POSITION DESCRIPTION: The Registrar Systems and Degree Requirements Coordinator reports to the University Registrar and has coordinative responsibility for the overall academic records enterprise of the University while collaborating with other members of the Office of the Registrar. The Registrar Systems and Degree Requirements Coordinator supports the operations of the Registrar's Office through management of academic requirements, student registration processes, and functional support of Workday Student. This position is responsible for building and maintaining degree requirements within Workday Student, assisting students, faculty, and staff with system-related processes, and performing a variety of administrative and operational duties to support accurate academic records and student success. Minimum Requirements This classification requires a basic foundation of knowledge and skills of technology and information systems generally obtained through an AA degree in computer science, information systems, educational technology, communications, or related fields, or similar certified coursework in applicable fields of study and at least one year of related work experience. Preferred Requirements Two years of experience as a program specialist or support specialist, which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial, such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR an equivalent combination of training and experience. One year of postsecondary education may be substituted for up to one year of the experience. Bachelor's degree in a disciplinary area related to this position. Experience with Workday Student or another student information system. Ability to learn new systems, analyze, and troubleshoot existing systems. Experience working in an applicable higher education setting. Experience with lead work responsibility or coordination of office procedures. Knowledge and experience using computer programs, including proficiency with databases and the Microsoft Office suite. Essential Functions Duties - The following examples are typical work activities that are meant to illustrate the general range of work functions and are not meant to be all-inclusive or restrictive: 70% Duties Include: Serve as a primary institutional contact, functional expert, and trainer in the University of the Registrar's Office for curriculum and degree requirements. Build, configure, test, and maintain degree requirements, academic policies, and program structures within Workday Student. Update curriculum requirements based on approved catalog and curriculum changes. Ensure accuracy and integrity of degree audits and academic progress rules. Collaborate with academic departments and campus partners to implement curriculum updates and resolve issues. Assist with testing and validation of system changes, updates, and enhancements related to academic requirements. Serve as a functional support resource for Workday Student processes within the Registrar's Office Troubleshoot system issues and coordinate resolutions with campus stakeholders and technical teams. Develop and maintain documentation, procedures, and training materials related to Workday Student functions. Provide user support and training to faculty, staff, and students on Registrar-related Workday Processes. Participate in system testing, upgrades, and continuous process improvement initiatives. Assist students, faculty, and advisors with the interpretation of registration policies. Verify and maintain student information procedures. 20% Duties Include Perform general administrative tasks to support Registrar's Office operations. Maintain confidential student records in compliance with institutional policy and FERPA regulations. Support office communication, scheduling, and workflow coordination. Ensure that systems associated with academic records are well-maintained, accurate, supported, and accessible. Create and maintain appropriate forms, documentation, user guides, and training manuals associated with academic records. 10% Duties Include Other duties as assigned. Must be able to exercise sound judgment and discretion, tact, and diplomacy. Excellent organizational and time management skills with the demonstrated ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines. Expressed skill to independently analyze software functionality through technical documents, and design and document efficient/effective work processes; ability to independently analyze software problems, test probable causes, and recommend sound solutions. Excellent computer skills and proficiency with a variety of computer applications including word processing, spreadsheets, databases, online systems, social media platforms, Internet as well as online calendaring and email. Demonstrated ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds. Working knowledge or ability to quickly learn, university infrastructure, policies, and procedures. Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude. Ability to apply consultative skills to assess user needs and provide appropriate support Knowledge of information technology systems and/or applications, including campus-wide systems and multimedia environments, access procedures, networks and/or databases Knowledge of system utilities, features, installation and maintenance procedures, and general operation Basic knowledge of data and file structures, database systems and related utilities, operating systems, and communication interface programs Ability to provide software development and programming support for instructional applications Knowledge of user interface design principles and applications Ability to perform system, database, and network maintenance tasks and to use standard software packages Physical Demand Normal office activities such as sitting/standing at a desk, using a computer, answering phones, and communicating in person, both in writing and via phone with others. Must be able to move/transport up to 25 lbs. Special Conditions Must be willing to travel and attend training programs off-site for occasional professional development. Must be able to work additional hours and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
