Position Name: Practice Administrator Location: Santa Monica, CA Setting: Private Practice / Startup Concierge Healthcare Pay: Competitive; based on experience Shift: Full-Time | Mon-Fri | 8am-5pm Requirements Experience in medical practice administration, healthcare operations, or a similar leadership role within an outpatient, specialty, private practice, or physician-led healthcare environment. Demonstrated experience overseeing day-to-day practice operations, including staff coordination, scheduling, patient flow, administrative workflows, policies and procedures, and operational efficiency. Experience partnering closely with physicians and organizational leadership to identify operational needs, implement improvements, and support practice growth. Knowledge of healthcare regulatory requirements, HIPAA, patient privacy, and medical practice policies and procedures. Experience with revenue cycle functions such as billing, collections, insurance authorizations, payer processes, or oversight of billing teams and vendors. Strong leadership, communication, organization, and problem‑solving skills, with the ability to manage multiple priorities in a fast‑paced and evolving environment. Comfortable working in a hands‑on leadership capacity and building processes, workflows, and infrastructure within a growing organization. Experience within oncology, neurology, infusion, concierge medicine, clinical research, or another complex specialty‑care environment is highly preferred. Job Summary Partner closely with physician leadership to oversee and strengthen the day‑to‑day administrative and operational functions of a growing specialty healthcare practice. Lead and support practice operations across staffing, scheduling, patient flow, administrative processes, vendor coordination, policies and procedures, and overall practice efficiency. Evaluate existing workflows and identify opportunities to develop, standardize, and implement scalable processes that support continued organizational growth. Help maintain an exceptional, personalized, high‑touch patient experience while ensuring the practice remains organized, responsive, and operationally efficient. Provide leadership and support to practice staff, promote accountability, address operational challenges, and help create an effective and collaborative working environment. Support revenue cycle and administrative functions, including billing processes, insurance authorizations, collections, and coordination with internal or external billing resources. Work closely with clinical and administrative teams to ensure strong communication and alignment across the practice. Support the development and implementation of policies, procedures, workflows, and operational standards that promote quality, compliance, consistency, and efficiency. Serve as a hands‑on operational leader who can identify areas requiring improvement, develop practical solutions, and help execute initiatives from planning through implementation. Adapt to the evolving needs of an innovative healthcare environment incorporating clinical research, clinical trials, genomic testing, advanced diagnostics, and emerging treatment approaches. Help build the operational infrastructure necessary to scale the practice while preserving the flexibility, innovation, and individualized approach to care that distinguishes the organization.
