JOB SUMMARY CUSTOMER SERVICES REPRESENTATIVE (PHONE OPERATOR) Administrative Support Workers Non-Exempt Operators Operations Manager November 2, 2016 Answers telephones, schedules patient appointments, updates patient data and directs patient complaints. ESSENTIAL JOB FUNCTIONS • Take incoming calls, route to the appropriate place, and relay messages. • Call patients to make appointments, reschedule appointments, and/or remind of appointments. • Enter patient information into computer programs. • Present a professional image at all times to clients and vendors and maintain a positive reputation of the company. • Interacts appropriately by being polite, courteous and responsive to clients, family, visitors, and other GCHC personnel. • Uses proper telephone etiquette and promptly transfer calls, when appropriate to other GCHC personnel. • Input information in the database based upon the content of the phone call. • Organizes job duties in a manner which enables timely completion of quality work, to provide optimum customer service and to achieve department goals. • Ensure all patient records and related documents are managed and maintained timely, accurately, and consistent with all HIPAA and related regulations and requirements. • Coordinate with related departments as required. Answers questions and provides assistance. • Keep management appropriately informed of area activities and of any significant problems. • Provide various reports as needed. • Present a professional image at all times to clients and vendors and maintain a positive reputation of the company. • Follow all relevant company policies and procedures. • Perform other tasks as assigned. QUALIFICATIONS Licenses, Certifications, and/or Registrations • Current ‘Basic Life Support’ (BLS) certification required. Education, Experience, and/or Training • High school diploma or equivalent required. Job Description • Minimum 2 years’ experience in healthcare preferred. Knowledge, Skills, and Abilities • Possess adequate knowledge of medical terminology to ensure optimal comprehension between client and medical staff preferred. • Knowledge of basic office procedures to include scheduling, registration, medical records filing, insurance coverage, referrals and authorizations preferred. • Knowledge of the Center’s services, departments, rules, and regulations. • Requires excellent communication skills and the ability to work effectively with persons of different cultural and socio-economic backgrounds. • Must possess excellent customer service skills and present positive image of the Center. • Excellent interpersonal skills. • Bilingual (Spanish) preferred. • Listens, comprehends, and effectively communicates to both English-only and Spanish-only speaking patients and staff. • Able to use office equipment and computer programs, including phone systems, typing, fax, and copy machine. • Able to organize job duties in a manner which enables timely completion of quality work. • Ability to follow orders pertaining to work duties.
