One Love Agency is hiring a full-time Office Administrator & Case Manager for our Idaho Falls office, starting immediately.

This is one job with two halves. Half of it is running the front of the house — our medication management clinic and the administrative side of our behavioral health team. The other half is a partial case management caseload of your own, because we would rather hire someone who can do both than two people who can each do one.

Who we are

For more than fifteen years we have walked with families through the hardest seasons of their lives. Six offices now, across Idaho and Utah. Adults in crisis. Kids and families who need someone in their corner. People finding their way back from addiction. We serve the folks other systems have the hardest time holding onto.

We also work like a village. The therapist, the case manager, the CBRS specialist, the peer support specialist, the front desk, the biller — every one of us is standing in a circle around a client. Nobody is the star and nobody is support staff. In this job you will feel that more than anyone: if the front of the house runs clean, everybody behind you gets to do their best work. If it doesn't, nobody does.

And we hold to three things we call the Big C's :

Clients. They are the reason for every decision we make. Not the schedule, not the paperwork, not convenience. Them.

Compliance. A note written well is proof a person was actually served. It is how we protect a client's access to care, protect the staff who provide it, and protect the agency that employs them. We stay at 100%.

Community Partners. Schools, courts, the hospital, Health and Welfare, recovery programs, housing and benefits offices. They send us people they are responsible for, and that trust is on loan.

The work — three parts

1. Our medication management clinic

You will run the day for our prescriber and the clients they see. Greeting and rooming clients and getting them settled and ready for their visit. Verifying demographics, coverage, consents, and releases before the appointment, not after. Preparing the chart so the prescriber walks in ready. Scheduling and confirming follow-ups. Routing refill requests and pharmacy communication to the right person, quickly. Chasing down the no-shows with a real phone call, because a missed med appointment is how somebody ends up back in crisis.

2. Administrative support for our behavioral health team

Intake and scheduling for our therapists, case managers, CBRS specialists, and peer support staff. Coverage verification and authorization tracking. Records and releases. Keeping calendars honest and the office running so clinical staff spend their day with clients instead of with paperwork.

3. Your own partial caseload

Depending on your degree, you will also carry a small case management and/or CBRS caseload of your own — real clients, real plans, documented and billed like any other provider's. This is not administrative time relabeled; it is a genuine part of your week with your own people on it, and we will build your schedule so both halves of this job get the hours they need.

Being a good and responsive front door for the people calling us for the first time. Keeping current clients engaged so they stay in care instead of falling off after three appointments. What we are looking for

Required

• Bachelor's degree. A degree in a health and human services field — social work, psychology, counseling, sociology, human services, or a related field — is what we are hoping for, because it opens the case management side of this role. A bachelor's in another field still qualifies you for the CBRS side, so apply either way and tell us what you hold.
• Real administrative or clinic-coordination experience — scheduling, records, coverage verification, and the discipline to keep all of it accurate
• Ability to practice under supervisory protocol, and to pass an Idaho Department of Health and Welfare criminal history background check cleared before direct client contact
• Clear of any state or federal exclusion list (OIG LEIE / SAM) — we verify at hire and monitor on an ongoing basis
• Comfort with electronic health records, and a real commitment to same-week documentation
• Valid Idaho driver's license, reliable transportation, and current auto insurance
• Discretion. You will see everything. HIPAA is not a training module here, it is a habit.

What makes you stand out

• You already have a presence in this community. People in the Idaho Falls behavioral health world know you and pick up when you call. That is the single most valuable thing you can bring to this particular job.
• You have worked in behavioral health administration — you know what a CDA is, what an authorization is, why units matter, and what makes a chart survive a review.
• You have carried a caseload before. Case management, CBRS, YES, or equivalent.
• You have worked around a prescriber. Medication management clinic flow, refills, prior authorizations, pharmacy coordination. A CMA credential is a nice plus, not a requirement.
• You are a closer on the little things. You call back. You follow up. You do not let a person fall through a crack because someone else did not answer.
• CANS certification (Idaho YES), bilingual ability, or experience reactivating and retaining clients — all real assets
• Warm on the phone and unflappable in the lobby
