Accounts Payable Specialist
Job Description
The Vascular and Vein Institute of the South is a demanding Vascular Surgery practice seeking a full-time Accounts Payable Specialist. Candidate must have excellent interpersonal skills, be detail oriented, focused, and able to work independently with minimal supervision
Essential Duties and Responsibilities:
- Retrieve invoices from websites and department email box
- Obtain appropriate approvals for all payable items
- Ensure only authorized invoices, check requests, and credit card transactions are processed for payment
- Process and manage accounts payable for multiple entities, including the medical practice, real estate holdings, and smaller operating companies
- Enter, code, and charge expenses to correct accounts, departments, locations, and providers
- Process employee reimbursement requests and company credit card transaction payments
- Reconcile monthly expenses and ensure proper documentation is collected on all expenses
- Assist with new vendor request documents including credit applications and obtaining W-9 forms
- Review vendor statements to ensure receipt of all invoices and request missing items
- Respond to vendor inquiries and maintain a positive relationship with vendor contacts
- Assist with vendor activity report requests
- Monitor internal processes to verify open orders and pending payables
- Continue to monitor and improve the payment process
- Interact with outside vendors who have questions regarding AR/AP
- Prepare weekly vendor payments for accounting department
- Maintain historical records including accounting ledgers, contracts, and contract terms
- Prepare journal entries and posting of company credit card activities
- Protect organization’s value by keeping information confidential
- Contribute to team effort by accomplishing related results as needed
- All other duties as assigned
Skills and Qualifications:
- Proficient in computer and data entry skills
- Analytical skills with ability to make sound decisions
- 3 years accounts payable work experience
- QuickBooks experience is required
- Intermediate bookkeeping skills
- Proficient in Microsoft Excel
- Excellent communication skills (oral, written and interpersonal) to effectively interface with internal and external team members
- Strong attention to detail with ability to prioritize tasks and work under tight deadlines
- Ability to multitask and manage work accordingly with minimal supervision
