About the Role:
The CALIFORNIA ASSOCIATION OF REALTORS® (C.A.R.) is seeking an organized and detail-oriented Local Association Services Coordinator to support the Local Association Services Manager in the execution of daily department and programs support and event initiatives within the Leadership Development group.
This position plays a key support role in the successful operation of Local Association Services by coordinating meeting and event logistics, providing communication support, recordkeeping, program facilitation, and general administrative support. Success in this role requires strong organization, attention to detail, responsiveness, professionalism, and the ability to effectively manage multiple priorities and support multiple projects, staff, volunteers, programs, and stakeholders in a fast-paced environment.

Key Responsibilities:
** Local Association Services Department Support: **
- Maintain department calendars, schedules, project timelines, and task tracking systems.
- Coordinate meetings, appointments, conference calls, and virtual meetings.
- Prepare correspondence, reports, spreadsheets, presentations, and other departmental documents.
- Process invoices, expense reports, and other administrative paperwork.
- Maintain organized online filing system for department records and resources.
- Monitor department email inboxes and route inquiries appropriately.
- Assist with data entry, database updates, and record maintenance.
Meeting and Event Coordination:
- Coordinate logistics for virtual and in-person meetings, training sessions, committee meetings, and department events.
- Manage meeting registrations, attendance tracking, and participant communications.
- Oversee scheduling of meeting locations, virtual platforms, audiovisual needs, catering, and other event requirements.
- Prepare meeting materials, agendas, name badges, handouts, and participant packets.
- Provide logistical support for meetings and events, including room setup and onsite registration.
- Coordinate travel arrangements and related logistics for staff, speakers, and volunteers when applicable.
- Facilitate post-event follow-up activities, including attendance reports and distribution of materials.
Communications and Resource Support:
- Facilitate the distribution of program updates, announcements, and newsletters.
- Update and organize department resources, templates, and documents on shared platforms and websites.
- Proofread materials to ensure accuracy, consistency, and professionalism.
Program Administration Support:
- Assist with coordination of AE programs, leadership development activities, onboarding efforts, and training initiatives.
- Track program performance metrics and prepare reports to support program evaluation and continuous improvement.
Committee and Volunteer Support:
- Prepare and distribute meeting information and committee materials.
- Maintain accurate meeting records and assist in preparing meeting summaries.
- Serve as a point of contact for routine inquiries from committee members and volunteer leaders.
- Support volunteer recognition and engagement activities as assigned.
Other Duties:
- Support special projects, research assignments, and department initiatives as assigned.
- Provide administrative support for additional Leadership Development and Local Association Services activities.
Key Requirements:
** Experience ** :
- Minimum of two years of administrative support, office coordination, program support, or related experience.
- Experience supporting meetings, committees, events, or member service programs.
- Experience working in an association, nonprofit, membership organization, or professional services environment is desirable.
Education : Bachelor’s degree or the equivalent.
Skills / Knowledge / Abilities:
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Ability to work independently and collaboratively in a team environment.
- Strong problem-solving and coordination and administrative skills.
- ** Technical ** Proficiency : Intermediate to advanced level in Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.) and proficiency with Canva, virtual meeting platforms, databases, and shared document systems.
Travel : Travel as needed to occasionally within California (business meetings three times per year, leadership training meetings, team offsites)
