Key Responsibilities

• Handles all group and corporate general inquiries and ensures maximization of revenues and minimization of losses through effective sales management.
• Answers phones and e-mails, proactively following up with each group and corporate client until contact is made.
• Executive pre arrival engagement for VIP clients and coordinate agenda.
• Maintains master events schedule on Outlook and enters group bookings into PMS system.
• Responsible for the development and maintenance of all sales databases
• Creates, updates and manages client database.
• Ensures the office administration runs smoothly and assist Director or Sales & Marketing
• Receives guests in the sales office. Answers all general inquiries in excess of the voicemail system.
• Processes all incoming and outgoing mail.
• Provides word processing support to Sales Managers for special reports as required.
• Able to produce and create reports on Excel and Word, and/or other platforms.
• Coordinate all credit card authorization forms, rooming list, group details arrivals, direct bill applications
• Support the sales representatives by researching prospecting new accounts.
• Assist the sales reps with scheduling new client visits and, if necessary, assist with travel arrangements.
• Conduct site tours for clients
• Conduct Internet market research
• Attend proactive visits with Sales Managers and participate of special Sales Customer Events.
• Send out sales media kits and hotel information to qualified clients.

Qualifications

• Previous sales, administrative and/or customer service experience required
• Proficient computer skills.
• Prefer knowledge of computer programs: Microsoft Word, Outlook, Excel, PowerPoint, MGS, Delphi and Opera
• Strong communication and interpersonal skills in English and Spanish, diplomatic, tactful, customer-focused with a professional phone manner and ability to interact professionally with staff, guests, the press, high profile and other external clients.
• Strong organizational and time management skills with proven ability to organize, prioritize and successfully manage multiple and shifting priorities, projects, and deadlines.
• Team-player, flexible, adaptable, personable and able to work well with others, take direction, and fulfill responsibilities under stress or pressure with minimal direct supervision.
• Candidates must display a level of maturity and finesse to work with luxury and exceptionally demanding clients.
