Supply Chain Officer-Warehouse

Program Summary Project HOPE is providing humanitarian assistance to the conflict-affected population in Gaza. The current response portfolio focuses on Health, Mental Health and Psychosocial Support, Protection, and WASH programming through Project HOPE programs and local partnerships. Position Summary The Warehouse Officer is responsible for supporting day-to-day warehouse operations for Project HOPE funded projects in Gaza under the supervision of the Supply Chain Manager Warehouse/Logistics. The position ensures proper receipt, storage, and dispatch of medical supplies, equipment, and project materials while maintaining accurate inventory records and complying with organizational procedures in a highly constrained and volatile operating environment. This position is being advertised contingent upon award; while the recruitment process will proceed as part of organizational preparedness, no formal offer will be extended until funding is confirmed. Principal Responsibilities Warehouse Operations Support Support daily warehouse activities, including receipt, storage, picking, and dispatch of goods. Assist in offloading and loading of supplies and ensure items are handled safely and correctly. Ensure goods are stored in designated locations and in accordance with storage standards (including cold chain and medical storage where applicable). Maintain cleanliness, order, and safety within warehouse premises. Support preparation of dispatches according to approved requests. Inventory & Stock Management Maintain stock cards, bin cards, and electronic inventory records as required. Update inventory records for all stock movements (receipts, issues, transfers). Support regular physical stock counts and reconciliation with stock records. Monitor expiry dates and report near-expiry or damaged items to the Warehouse Coordinator. Assist in preparing stock movement and inventory reports. Documentation & Filing Prepare and maintain warehouse documentation such as GRNs, waybills, dispatch notes, and stock cards. Ensure all warehouse files are complete, accurate, and properly filed. Maintain organized and audit-ready warehouse documentation. Support preparation of warehouse files for internal and external audits. Coordination with Logistics & Programs Coordinate with fleet and logistics teams to arrange dispatches and deliveries. Support program teams in preparing and packing items for field distribution. Confirm receipt of goods at field locations and collect signed delivery notes. Communicate any delays or discrepancies to the Warehouse Coordinator. Asset & Equipment Support Support storage and tracking of project equipment and non-consumable assets. Assist in tagging and recording of assets stored in the warehouse. Report damaged, lost, or expired items immediately to the Warehouse Coordinator. Support disposal procedures for unusable or expired items as per policies. Compliance & Safety Follow Project HOPE warehouse and supply chain procedures at all times. Adhere to safety and security measures within warehouse premises. Promote proper handling of medical supplies and sensitive materials. Report any risks related to theft, damage, or spoilage to the Warehouse Coordinator. Minimum Qualifications Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or related field. Minimum 3–7 years of experience in warehouse or inventory management, preferably in NGO or humanitarian settings. Basic knowledge of stock management systems and warehouse documentation. Experience handling medical or pharmaceutical supplies is an asset. Ability to work in restricted and high-risk operating environments. Strong organizational and record-keeping skills. Ability to work under pressure and manage physical tasks when required. Good communication and coordination skills and fluency in English and Arabic is essential. Physical Demands And Work Environment Physical Demands While performing the duties of this job, the employee must be mobile in an office environment and able to use standard office equipment. Must be able to communicate in verbal and written form and must be able to travel internationally. Project HOPE employees may be required to travel or work in countries where working conditions are classified as “hardship.” Work Environment Typical office environment with exposure to a minimal noise level. Emergency deployments may be in resource-deprived environments with austere living conditions. Travel for extended periods may be by air and/or other modes of transportation. While international travel is not a regular part of every job, programmatic needs may require it intermittently.
