Job Description POSITION TITLE: Payroll Accountant POSITION PURPOSE:
The Payroll Accountant performs a variety of tasks relating to Accounting, Taxation, Reporting, Compliance & Processing. These tasks may include preparing General Ledger (GL) entries, reconciling (GL) accounts, balancing various reports & registers and providing guidance to team members when needed. Provides excellent customer service as well as audit, analyze and reconcile data from multiple sources, spot discrepancies and review and remediate problem root causes. ESSENTIAL FUNCTIONS:
Payroll Accounting: Prepare Payroll Journal Entries and perform (GL) account reconciliations. Maintain payroll files, prepare and reconcile 401(k) contributions, Flexible Spending Accounts and commuter deductions. Research accounting treatment for new or complex transactions. Prepare and record payroll, benefit, and employment tax related re-class journal entries. Provide (GL) support by ensuring accuracy of payroll related general ledger accounts and partners with General Accounting team to reconcile open or outstanding items. Provide balance sheet analytics for management review; execute jobs to create and post payroll accounting documents in ADP at various time intervals through month and year-end and post manual journal corrections as needed. Maintain master mapping of (GL) codes and data across various ADP, Oracle & PeopleSoft systems. Works closely with Payroll Coordinators & General Accounting teams with account reconciliations impacted by processing transactions. Communicates required system changes and prepares files for upload and researches/resolves out of balance conditions.
Payroll Taxation: Responsible for preparing various employer business tax return included but not limited to Nevada Business Tax (MBT) returns and data reporting for State/Province workers' compensation returns (Ohio, WSIB, etc.) Manage agency tax tracers and support external agency audit requirements. Reconcile each payroll register with tax filing reports to ensure accurate payment and timely tax filing are performed. Keep up with latest taxation requirements for both US and Canada by researching taxation rules of new "Earning" & "Deduction" codes. Ensure codes and mapping are timely set up in payroll system (ADP GL).
Payroll Reporting: Prepares various standard weekly, biweekly, monthly and adhoc reporting. Provide support for fiscal year, statutory, and government audits. Perform statistical employee reporting to various government agencies along with other reporting as required. Work closely with Escheatment team to prepare and report on Unclaimed/Uncashed Payroll check to ensure accurate reissue to Associate or accurate Escheatment to States.
Payroll Compliance: Assist in ensuring compliance of all Sarbanes Oxley (SOX) controls relating to payroll processing functions. Assist in performing regular audits within the payroll system to ensure correct data reconciliation & taxation are occurring. Track compliance changes and analyze accounts for reasonableness and proper accounting flows. Assist in ensuring proper financial controls are in place.
Payroll Processing: Acts as back-up to Payroll Coordinator(s) during peak/sick/vacation periods. Participates in special projects and proactively seeks to improve department processes.
