Assistant Purchasing SpecialistThe Assistant Purchasing supports the Purchasing Department by assisting with procurement activities, maintaining accurate records, and ensuring materials and supplies are ordered, received, and documented in a timely and cost-effective manner. This role helps ensure uninterrupted operations by coordinating with vendors, internal departments, and the purchasing team.Essential Duties and ResponsibilitiesAssist with creating and processing purchase orders in accordance with company policiesCommunicate with vendors regarding pricing, availability, delivery schedules, and order statusTrack and follow up on open purchase orders to ensure timely deliveryMaintain accurate purchasing records, invoices, and related documentationVerify received materials against purchase orders and report discrepanciesAssist with inventory tracking and reporting as neededSupport cost control efforts by obtaining quotes and comparing pricingCoordinate with accounting and other departments to resolve purchasing or invoice issuesMaintain vendor files and assist with vendor onboardingPerform general administrative duties related to purchasing operationsQualificationsHigh school diploma or equivalent required; associate degree or coursework in business or supply chain preferredPrevious experience in purchasing, procurement, or administrative support preferredStrong organizational and time-management skillsAttention to detail and accuracyProficient in Microsoft Office (Excel, Word, Outlook) and purchasing or ERP systemsAbility to communicate effectively with vendors and internal teamsAbility to work independently and handle multiple prioritiesPhysical RequirementsAbility to sit or stand for extended periodsAbility to lift up 35lbs.Work EnvironmentOffice and/or manufacturing environmentFast-paced setting with frequent interaction across departmentsReports To: Purchasing Manager
