Job Full Description The High-Energy Administrative Assistant / Receptionist is the first point of contact for anyone visiting or reaching out to our Lakeville office. This role is essential in creating a strong first impression and supporting the day-to-day flow of a busy, fast-paced office.

- Greet applicants and visitors promptly with a friendly, professional, high-energy demeanor
- Answer incoming phone calls by the third ring and handle inquiries with courtesy and confidence
- Determine callers' needs, answer questions, resolve concerns, or route calls appropriately
- Accurately document all inquiry calls in the automated system
- Enter applications and related contact information accurately and in a timely manner
You'll help keep applicant flow moving smoothly and support hiring activities.
- Post available job opportunities through online and community channels
- Administer skills evaluations, providing clear instructions, encouragement, and support
- Review applications to identify potential matches for open positions
- Schedule and coordinate interviews with recruiters and hiring teams across skilled trades, light manufacturing, office services, and professional divisions, ensuring clear communication and smooth candidate transitions through the hiring process.
You'll play a key role in keeping the office organized, compliant, and running efficiently.
- Enter applicant and new-hire data into the automated system
- Administer new-hire paperwork, including I-9 verification and tax forms
- Prepare correspondence, assist with mailings, and maintain accurate records
- File applications, employee paperwork, and confidential documents carefully
- Maintain strict confidentiality of all applicant and employee information
- Keep the front office clean, organized, and professional in appearance
- Monitor office supplies and ensure forms and materials are always stocked
- Support the office team with additional administrative duties as assigned
- Work in a well-lit, climate-controlled office with an upbeat, positive atmosphere and music playing
- Fast-paced environment with frequent phone calls, emails, walk-ins, and interruptions
- Requires strong multitasking skills, attention to detail, and a sense of urgency
- Must remain professional, organized, and positive under pressure
- Dress code: Business casual / professional, with Jean Fridays
