Compensation: $22 - $30 per hour, plus quarterly merit-based bonuses

Job Description

As the Intake Specialist, you will shape our clients' experience and the firm's success from the very first interaction. You will own the front end of our client pipeline: managing leads, following up with prospective clients, and organizing the calendar to maximize revenue. You will provide a warm, professional, and empathetic introduction to our firm, so that potential clients feel supported and understood. This role suits a motivated, results-oriented professional who takes pride in excellence, wants measurable impact, and is ready to grow with an expanding firm.

Key Responsibilities

• Own the response to incoming leads, calls, emails, and online inquiries from prospective clients, engaging each one in a timely, courteous, and professional manner.
• Communicate the value of our services with confidence, converting inquiries into scheduled consultations. Prioritize high-value cases on the calendar and refer low-value cases to other firms.
• Manage and optimize the attorney calendar to maximize revenue and make the best use of the team's time.
• Prepare, print, and organize large document sets, including estate planning binders and deeds, with precision and attention to detail.
• Handle inbound and outbound mail.
• Manage the phones and greet walk-in clients, setting the standard for the firm's first impression.

Qualifications

• High school diploma or equivalent required; associate's or bachelor's degree preferred.
• At least 1 year of previous experience in a law firm, especially in estate planning or estate administration.
• A track record of strong performance, such as meeting or exceeding goals, earning recognition, or taking on increased responsibility, is highly valued.
• Exceptional communication and interpersonal skills, with a strong client service orientation and the ability to persuade and build trust.
• Ability to handle sensitive information with discretion and professionalism.
• Strong organizational skills and exceptional attention to detail.
• Proficiency with computers and legal case management software.
• Ability to multitask and manage priorities in a fast-paced environment.
• A passing score on an online assessment.
