Job Description An Intake Specialistis a committed individual possessing excellent customer service skills,communication skills, highly detail-oriented, and persuasive ability with asoft sales focus. This role is expected to deliver administrative support forthe organization, including compiling and processing claims to mail to the VA,coordinating direct mailings, and working on special projects. This positionwill interface professionally through written, telephonic, and in-personmediums, with a diverse group of important external callers and visitors, willwork in a fast-paced environment, and successfully work independently or on ateam. In addition to administrative duties, this position is the first point ofcontact for our clients and is responsible for gathering and compiling initialinformation and documentation to begin the claims process. The AdministrativeIntake Specialist must be able to implement and support change, exhibitprofessionalism through demeanor and appearance, promote a positive teamattitude and effectively respond to unexpected changes or demands. Essential Functions Initiates the firstcontact with assigned clients via phone and email. Provides Companyoverview of services offered. Able to answerquestions effectively regarding services provided, set client expectations, andensure the value of our service is represented to our clients. May be called on toovercome client objections or reservations to engage VEV’s services. Requests requiredinitial client documentation and information. Compiles andverifies received client documentation. Updates andaccurately documents client profiles. Validates clientcompliance and readiness to move forward in workflow. Performs monthlyverification projects as assigned by supervisor. Assists Coaches byrequesting and compiling client documents as needed. Meets productionexpectations and quality guidelines in timeframes as established by supervisor. Develops, maintains,and retrieves information as needed from clients. Organizes andprioritizes a large volume of information and calls for assigned staff. Answers incomingcalls, takes messages, fields all routine and non-routine questions. Handles confidentialand non-routine information and explains policies when necessary. May workindependently or with a team on special, non-recurring, and ongoing projects. Supports maintenanceof the department finances with activities including facilitation of onsiteclient payments, copying check requests, processing of accounts payable travelreimbursement, packaging and submitting corporate credit card documentationexpenses to finance, etc. Provides client services,coordinating, answering phones, and handling client issues. Completes anyadditional duties accurately as assigned by the direct supervisor in therequisite timeframe. Physical Demands: The physical demands describedhere are representative of those that must be met by an employee tosuccessfully perform the essential functions of this job. While performing theduties of this job, the employee is regularly required to talk or hear. This islargely a sedentary role; however, some filing is required; it would requirethe ability to lift files, open filing cabinets, reach with hands and arms, andbend or stand on a stool as necessary.
