The Residential Project Coordinator I - II will support and work closely within the Residential Project Management Department creating comprehensive action plans concerning resources, budgets and timeframes for projects; organizing and participating in shareholder meetings; and ensuring all deadlines for projects are met.  This position requires a high level of proficiency with detail-orientation, accuracy, flexibility, time-management, multitasking, and organizational skills.  The ideal candidate will possess the ability to tolerate a high level of stress and thrive in a high-pressure environment.

Primary responsibilities:

· Possess a strong understanding of construction plans and specifications including revisions (this is crucial for accuracy of bidding, contracts, etc.).

· Possess strong familiarization of producing a full bid qualification between subcontractors to compare and present to owners.

· Support Residential Project Management Department in the bidding process, including preparing and distributing invitations to bid, managing document distribution and communication with subcontractors, collecting and organizing proposals.

· Assist in preparing and distributing all necessary documentation for the start of projects, including project directories, subcontracts, change orders, and purchase orders.

· Assist in managing subcontractor submittals, actively soliciting bids, making follow-up calls to ensure full participation, and tracking responses, in a timely manner.

· Assist in processing RFIs and maintaining RFI log for timely and accurate processing.

· Follow change order processes to document any necessary scope changes, associated impacts, and approvals and enable visibility to all parties of the project.

· Set up and maintain project files.

· Assist in overseeing and managing project closeout process, including gathering closeout documentation, collecting permits and permit drawings, assembling turnover packages, and submitting them for client approval.

· Assist in facilitating proper communication and workflow for the team which consists of in-house office staff, field staff, subcontractors, clients, and any other individuals that have direct correlation to the construction project.

· Effectively communicate with subcontractors the pricing, scheduling, insurances, and any other relevant information that has direct correlation to the construction project.

· Maintain construction log, paperwork, and documentation.

· Coordinate design decisions by facilitating discussions with designers through email and in-person meetings, synthesizing input, and presenting finalized recommendations to clients for review and approval.

· Experience with construction management software (Buildertrend) to log and track progress on schedule, budgets, and completion versus projections.

High school degree or equivalent required.  Bachelor’s Degree in construction management, civil engineering, or related field, or equivalent combination of education and work-related experience.  Minimum 3+ years of experience in residential construction project administration.  Candidates must be fluent in reading and understanding blueprints.  Excellent time-management, multitasking, and organizational skills are a must.

Must be reliable and consistent; adaptive and flexible with ability to comfortably shift between priorities and tasks; detail-oriented to the specifics of the scope of work; possess strong people skills, including the ability to handle various personalities and develop professional relationships; have strong verbal and written communication skills with the ability to take complex concepts and communicate accurately; strong capacity to work within a team setting in a cooperative and collaborative manner, performing effectively under pressure and meet deadlines; make quick and accurate fact-/data-/metric-based decisions. Must possess an active valid Driver’s License.

Job Type:  Full-time, Monday-Friday, 7:30 a.m. – 4:30 p.m.
