Position Overview

Global Staffing Services is seeking a highly organized, energetic, and professional Interview Coordinator to help manage the interview process between candidates, recruiters, and hiring managers.

The Interview Coordinator plays a critical role in keeping the hiring process moving quickly and efficiently. This person will schedule interviews, maintain consistent communication with candidates, confirm appointments, prepare candidates for interviews, gather feedback, and ensure that no candidate gets lost in the process.

The ideal candidate is an excellent communicator who is comfortable speaking with people throughout the day, can manage multiple priorities, and understands the importance of urgency and follow-up in recruiting.

Key Responsibilities

• Schedule and coordinate interviews between candidates and hiring managers.
• Maintain constant communication with candidates throughout the interview process.
• Confirm all interviews in advance and reduce cancellations and no-shows.
• Provide candidates with interview dates, times, locations, virtual meeting links, and contact information.
• Prepare candidates before interviews by reviewing the opportunity, company, position, and interview expectations.
• Follow up with candidates immediately after interviews to gather feedback.
• Obtain interview feedback and next steps from recruiters and hiring managers.
• Coordinate second interviews, final interviews, and follow-up conversations.
• Maintain accurate interview activity and candidate status information in the applicant tracking system.
• Identify candidates who are stalled in the process and proactively move them forward.
• Keep recruiters informed of upcoming interviews, completed interviews, cancellations, reschedules, and candidate concerns.
• Communicate professionally with clients and hiring managers when coordinating schedules.
• Help maintain a positive candidate experience from first interview through offer and hire.
• Track daily and weekly interview activity and report progress to management.
• Assist with offer-stage communication, references, background checks, and onboarding coordination when needed.
• Work closely with recruiters to prioritize urgent and high-value openings.

• Number of interviews successfully scheduled.

• Candidate response rate.
• Reduction in interview cancellations and no-shows.
• Speed of interview scheduling.
• Timeliness of candidate and client follow-up.
• Candidates advancing to the next stage.
• Interview-to-hire conversion.
• Accuracy of ATS records and candidate status updates.
• Overall candidate experience.

Qualifications

• Strong verbal and written communication skills.
• Excellent organizational and time-management abilities.
• Comfortable making a high volume of phone calls and speaking with candidates throughout the day.
• Strong attention to detail.
• Ability to manage multiple calendars, candidates, positions, and priorities simultaneously.
• Professional and confident telephone presence.
• Persistent follow-up skills without being overly aggressive.
• Ability to work effectively in a fast-paced, results-driven environment.
• Strong computer skills and ability to learn recruiting software and applicant tracking systems.
• Previous recruiting, staffing, scheduling, customer service, sales, hospitality, or administrative experience is helpful but not required.
