This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Advancement Operations Manager based in the United States.
This is a strategic and hands-on leadership opportunity for a data-driven operations professional to shape and optimize fundraising systems, data infrastructure, and advancement operations within a mission-focused organization. In this role, you will serve as the central expert for CRM systems, donor data, and fundraising operations, ensuring accuracy, efficiency, and actionable insights across the development function. You will design and implement data strategies, oversee system integrity, and translate complex information into clear reporting that supports decision-making and revenue growth. Working closely with finance, development, and cross-functional teams, you will ensure seamless operational alignment and data reliability. The role also includes team leadership responsibilities, mentoring staff and setting high standards for operational excellence. Accountabilities
- Lead and supervise a development operations associate, providing coaching, performance management, and quality oversight across gift processing, data entry, and donor services functions.
- Develop and implement CRM and data management strategies that improve data accuracy, integrity, automation, and overall operational efficiency.
- Design and maintain reporting infrastructure, delivering recurring and ad hoc CRM reports, dashboards, and donor performance insights to leadership and finance teams.
- Establish and enforce data governance standards, SOPs, and best practices to ensure consistency, compliance, and high-quality data across all systems.
- Oversee CRM configuration, integrations, and system optimization, including vendor management and platform performance monitoring.
- Lead CRM migration initiatives, including data cleaning, mapping, validation, testing, and post-migration quality assurance.
- Build segmentation and data strategies that support donor engagement, fundraising campaigns, audience targeting, and revenue growth initiatives.
- Identify opportunities for automation and AI-driven improvements to enhance data workflows and operational scalability.
- Serve as the key liaison between development and finance, managing reconciliation processes, reporting cycles, and data alignment activities.
- Conduct regular data quality audits, ensure compliance with financial and donor data regulations, and proactively resolve data inconsistencies.
- Support cross-functional stakeholders by translating data into actionable insights for fundraising, marketing, and organizational planning.
- Provide backup support for operational functions such as gift processing and donor communications when needed to ensure continuity.
Requirements
- Bachelor’s degree in a related field preferred, or equivalent experience in nonprofit development operations or data management.
- 5+ years of experience in nonprofit fundraising operations, CRM management, or development data systems, ideally in a $20M+ revenue organization.
- 3+ years of experience managing or supervising teams, including performance management and staff development.
- Deep, hands-on experience with Salesforce CRM or similar fundraising and donor management systems.
- Proven experience leading or significantly contributing to at least one full CRM migration project.
- Strong proficiency in Microsoft Excel and advanced data analysis tools, with the ability to manage complex datasets.
- Experience managing vendor relationships, including CRM providers and external data or processing partners.
- Strong understanding of fundraising operations, donor lifecycle management, segmentation, and campaign reporting.
- Knowledge of data governance, compliance standards, and donor data regulations (including IRS requirements where applicable).
- Excellent communication skills with the ability to translate technical and analytical findings into clear insights for non-technical audiences.
- Strong organizational, project management, and problem-solving abilities with high attention to detail.
- Ability to manage multiple priorities and deliver high-quality outputs under deadlines.
- Comfort interacting with donors and stakeholders via phone and email when required.
- Demonstrated alignment with mission-driven, nonprofit environments and values-based work.
