Billing Specialist

We are hiring a Billing Specialist for one of our clients in Newark, NJ .

Job Description:

• Receive, review, route, and process invoices submitted by outside counsel, experts, consultants, litigation vendors, and other providers of legal services.
• Review invoices for compliance with applicable engagement letters, contracts, purchase orders, approved rates, staffing arrangements, matter budgets, and outside counsel billing guidelines.
• Identify and document duplicate charges, billing errors, unauthorized rates or timekeepers, unsupported expenses, block billing, excessive staffing, noncompliant task descriptions, and other exceptions requiring correction or further review.
• Coordinate invoice review and approval with responsible attorneys, ensuring that attorneys evaluate the substantive necessity and reasonableness of the legal services provided.
• Communicate with outside counsel and vendors regarding invoice status, required supporting documentation, billing corrections, credits, rejected charges, and other routine billing matters.
• Monitor outside-counsel expenditures, commitments, accruals, budget utilization, and anticipated costs by matter, law firm, practice area, and other relevant categories.
• Prepare periodic legal-spend reports, budget-to-actual comparisons and other financial information.
• Coordinate with other departments to reconcile billing records, resolve payment issues and ensure compliance with agency financial requirements.
• Maintain complete and organized documentation supporting invoice approvals, adjustments, credits, disputes, and payments for audit, compliance, public-records, and management purposes.
• Identify recurring billing issues, spending trends, control weaknesses, and opportunities to improve efficiency, accuracy, accountability, or cost management.
• Protect confidential, privileged, sensitive, and attorney-work-product information encountered in the performance of assigned duties.
• Perform other related duties and special projects as assigned.

Work hours:

• Part Time hours, no longer than 30 hours a week
• Work hours: 9:00 AM - 3:00 PM
• Lunch period (Unpaid): 30 Minutes
