Bilingual Spanish Workers' Compensation Legal Secretary
(Temp-to-Hire)

Position Summary

We are seeking an experienced Workers' Compensation Appeals Board (WCAB) Secretary to support a busy workers' compensation practice. This role is ideal for a detail-oriented professional with strong California workers' compensation litigation support experience, fluency in Spanish, and the ability to manage a high-volume caseload from filing through resolution. The right candidate is comfortable working directly with clients, injured workers, and opposing counsel, and can independently manage deadlines, calendaring, and document preparation in a fast-paced legal environment.

Key Responsibilities

Case Filing & Document Preparation

• Prepare, file, and serve Applications for Adjudication of Claim
• Prepare and file Declarations of Readiness to Proceed (DORs)
• Draft and file Petitions, including Petitions for Reconsideration, Petitions to Compel, and related pleadings
• Prepare trial exhibits and ensure timely exchange and filing per WCAB requirements
• Draft Stipulations with Request for Award
• Prepare Compromise & Release agreements
• File all documents through EAMS accurately and within required timeframes

Calendaring & Scheduling

• Maintain WCAB hearing calendars, including Mandatory Settlement Conferences (MSCs), trials, and status conferences
• Track and manage filing deadlines and statutory timeframes
• Schedule Qualified Medical Evaluator (QME) and Agreed Medical Evaluator (AME) appointments
• Coordinate with medical evaluators' offices to confirm appointments and resolve scheduling conflicts

Client & Case Communication

• Serve as a primary point of contact for clients, providing case status updates and responding to inquiries
• Communicate with injured workers, applicants' attorneys, claims adjusters, and medical providers as needed
• Communicate fluently in English and Spanish, both in writing and verbally

Administrative Support

• Maintain organized case files, both physical and electronic
• Draft correspondence, memos, and case summaries using Microsoft Office (Word, Excel, Outlook)
• Support attorneys with general case management and trial preparation

Required Qualifications

• Fluent in Spanish (speaking, reading, and writing)
• Minimum 3+ years of experience in California workers' compensation defense or applicant-side practice
• Hands-on experience filing documents through EAMS
• Demonstrated experience with WCAB calendaring procedures and deadlines
• Proven experience preparing and filing Applications for Adjudication of Claim, DORs, Petitions, Trial Exhibits, Stipulations with Request for Award, and Compromise & Release agreements
• Experience scheduling QME and AME appointments
• Strong interpersonal and client communication skills
• Proficiency in Microsoft Office (Word, Excel, Outlook)
