You’ll help keep communication moving, records organized, requests on track, and community needs from falling through the cracks. Your responsibilities will include: Respond to homeowner questions and requests by phone, email, action items, and other communication channels Maintain accurate homeowner account notes and community records Prepare, send, and track violation correspondence through Vantaca Review, organize, and help coordinate architectural requests Organize and distribute community newsletters and other communications Create and track maintenance work orders through VantacaSupport the Customer Service phone queue as needed Assist Community Managers with the day‑to‑day needs of their assigned communities Attend association meetings periodically when requested Track insurance renewals, bids, and related information through Vantaca Organize bids, contracts, and other community documents Coordinate special mailings and community communications Assist with vendor management and follow‑up Support entry‑system administration, including pool fobs and gate access Maintain amenity reservations for assigned communities, as applicable Conduct scheduled community standards tours with Community Managers Maintain accurate electronic files and records What We’re Looking For We’re looking for someone who enjoys helping people, stays organized when there are a lot of moving pieces, and takes pride in getting the details right. You don’t need to know everything about association management on day one. What matters most is bringing strong customer service, communication, organization, and problem‑solving skills, along with the willingness to learn. Experience We welcome candidates with experience in customer service, administrative support, hospitality, property management, real estate, retail, or other service‑oriented environments. Experience in HOA or community association management is a plus but not required. If you’re coming from another industry, many of your skills transfer directly: communicating with customers, managing multiple priorities, keeping accurate records, resolving problems, meeting deadlines, and working effectively as part of a team. Skills Strong verbal and written communication Excellent customer service and interpersonal skills Organized, detail‑oriented, and able to manage competing priorities Sound judgment, problem‑solving skills, and resourcefulness Ability to maintain accurate homeowner records and correspondence Comfortable working with spreadsheets, databases, email, and document‑management systems Proficient in Microsoft Outlook, Word, Excel, and Teams Comfortable learning industry technology such as Vantaca Typing proficiency of at least 45 WPM Ability to work collaboratively and take direction from multiple team members What You Bring to the Team Honesty, respect, and a strong work ethic A customer‑first mindset Accountability and follow‑through Flexibility and adaptability A positive, professional demeanor Willingness to learn from experience and feedback A team‑first approach A good sense of humor because we take the work seriously, not ourselves Working Conditions This role blends office‑based work with periodic community site visits. You’ll spend portions of the day working at a computer and communicating with homeowners, Community Managers, board members, vendors, and other team members. Community visits may require walking, and the position may occasionally require lifting supplies or materials. Because community standards tours and site visits are part of the role, a valid driver’s license and acceptable driving record are required. You’ll work in a collaborative, busy environment where priorities can change and deadlines matter. The ability to stay organized, communicate clearly, and provide excellent service while managing interruptions is important to success in this role.
