Logistics Coordinator

The Logistics Coordinator is responsible for working in a cohesive team environment to ensure all shipments (domestic & international) are shipped in compliance with customer requirements. The scope of this position includes but is not limited to, functions such as processing orders, arranging shipments/deliveries for domestic transactions, imports and or exports, preparing/issuing shipping documents (data entry/inputs), tracking shipments, handling internal/external queries or complaints from counterparties, providing customer service, monitoring payment status, supporting payment collection, solving problems with customers and suppliers.

Essential duties and responsibilities include overseeing supply chain operations and ensuring efficient and cost-effective distribution of goods; interacting with across departments and key players such as suppliers, customers, and third-party logistics service providers to plan, advise and co-ordinate transportation of materials, shipment costs and manage the timely flow of customer orders; facilitating the shipping of products from one destination to another, both domestic & International/ incoming & outgoing; receiving shipments, ensuring both quality and quantity & taking immediate steps to avoid quality control issues; ensuring that assigned tasks are completed safely, in strict compliance with ISO & QA requirements, and in a timely basis to meet shipping requirements; understanding Global Trade & Country Specific import and export rules; maintaining accurate records of dispatch activities, including delivery schedules, transportation manifests, and customer information; planning and optimizing transportation routes and processes to maximize efficiency and minimize costs; continuously identifying opportunities for process improvement and implementing solutions to enhance the effectiveness of logistical operations; arranging booking of ocean vessels and drayage for export containers and updating systems accordingly; evaluating and implementing logistics technology solutions to enhance tracking, visibility, and overall efficiency; fostering strong relationships with team members both overseas and domestically; working with customs brokers and logistics companies to handle importation, arrival notices, customs documents, and payments; coordinating with the finance team to handle all shipping, tariffs, and customs costs; preparing and delivering export documents such as Bill of Lading, Commercial Invoice, Packing List, Certificate of Origin, etc.; shipment status tracking and monitoring: continuously monitor the export shipment and report irregularities; collaborating with the Global Logistics team and providing support as needed; assisting in coordinating truck, rail, and international shipments; collaborating with team members to gather and compile data for reports and presentations; conducting quality checks to ensure documents meet established standards; maintaining confidentiality and security of sensitive information; ensuring consistency and quality of communications and presentations, publishing organizational announcements to company intranet and developing communications to internal and external stakeholder groups as needed; providing varied administrative support activities including, but not limited to, maintenance of files, forms and various project documentation, order supplies, ensure payment of vendor invoices, and providing backup support to other site disciplines, as needed; maintaining accurate and legible records that align with Colloids ISO requirements as well as Good Documentation Practices (GDP); fulfilling any other reasonable responsibility or duty as identified or requested by the Site Leader; maintaining department Key Performance Indicator's.

Other responsibilities include serving as the first contact for inquiries and overseeing all aspects of the front desk; maintaining complete and open lines of communication with other personnel, functional groups, or departments to facilitate operations and interaction in the organization; keeping Site and Global Leadership Team informed of status and progress, by ensuring that regular and periodical communication takes place; maintaining professional conduct, attendance, and high ethical standards in the workplace, complying with company's policies and procedures; fulfilling mandatory training requirements applicable for department and job duties as appropriate; documentation is accurate and concise.

Work environment/physical demands include being primarily in a controlled temperate environment however will be being exposed to heat/cold during support of outside activities. Work is generally active in nature, and will require standing, walking, grasping, lifting/moving up to 50 pounds. The ability to read printed materials and written information on a computer screen is required.

Pay $22-30
