This role is paid on an hourly basis with a range of $37.50-$44.23 and is eligible for overtime in accordance with applicable laws. The expected approximate annualized compensation range is $78,000.00-$91,998.40. - Serve as the primary front desk and office contact for the Kent office, including greeting employees, visitors, vendors, and guests; coordinating visitor access; answering and directing incoming phone calls; and maintaining an organized reception area.
- Open and close the office each business day, ensuring the workspace is secure, required equipment is powered on or off, and the office is prepared for employees and visitors.
- Provide day-to-day office support to the Kent workforce, including monitoring office supplies, shared resources, breakrooms, conference rooms, common areas, and general workplace needs.
- Coordinate Kent office events, employee engagement activities, travel, meetings and interviews, celebrations, and workplace gatherings in collaboration with Human Resources and Marketing.
- Supervise and provide day-to-day direction to mailroom and print support; oversee incoming and outgoing mail, package handling, shipping and receiving, courier coordination, related tracking, and AEC deliverable support, including document handling, reproduction coordination, shipment preparation, and delivery needs between offices, job sites, and external locations as needed.
- Coordinate facilities and workplace operations, including vendor visits, maintenance requests, deliveries, work coordination, scheduling, and follow-through to completion.
- Maintain organized records and identify process improvements for office services, mailroom and shipping activity, engagement activities, vendor and facilities coordination, and general Kent office operations.
- Communicate regularly with your supervisor and any direct report(s) regarding office needs, service issues, staffing coordination, and operational priorities.
- Perform other duties as assigned.

- High school diploma or G.E.D. equivalent required; associate degree preferred.
- Must be a commissioned Notary Public or be able to obtain Notary Public certification within 30 days of hire and maintain it as required for the role.
- 5-10 years of experience in office administration, office management, front desk operations, employee support, facilities coordination, mailroom operations, or a related office services role preferred.
- Prior experience working within an architecture, engineering, construction, interior design, energy, or professional services environment preferred.
- Experience coordinating office events, meetings and interviews, vendors, shipping and receiving, workplace requests, supplies, and general office operations preferred.
- Experience providing day-to-day direction or supervision to administrative, mailroom, facilities, or office support staff preferred.
- Proficiency with Microsoft Office and standard office equipment, including computers, phones, printers, copiers, scanners, postage equipment, and related office tools.
