Head of Firm Operations

In this role, you'll provide leadership over the daily operations of a thriving estate planning and administration practice, working in close partnership with the Founder and CEO to build the systems, accountability, and culture the firm needs to keep growing with intention. You'll own firm operations, team performance, financial matters, and process improvement — ensuring the work is excellent, the client experience stays consistently exceptional, and the team has the right environment to thrive. The Head of Firm Operations is expected to model these values daily— through leadership decisions, team development, and how the firm's systems are built and upheld. What You Will Do in Any Given Week Own daily business operations, ensuring priorities, decisions, and commitments move from decision to completion Manage team performance, role clarity, coaching, hiring, and accountability across practice areas, including the direct supervision of attorneys Establish and maintain accurate scorecards and metrics, and lead a consistent review cadence for results, risks, and corrective action Partner with the CEO, CFO, and accounting team on budgets, cash, collections, realization, and profitability Document, simplify, and improve workflows, assigning clear ownership and measurable standards Evaluate workload, staffing levels, and hiring needs using reliable data Maintain sound administrative, financial, confidentiality, and vendor controls Convert the CEO's priorities into operating plans with clear owners, deadlines, and review points Provide dependable visibility into firm performance so leadership can trust the work is handled without needing to manage it directly Who You Are You lead through context, clarity, accountability, and follow-through rather than unexplained directives. Qualifications At least 8 years of progressively responsible operations or firm administration experience (ideally at a law firm or a closely comparable professional services organization) Direct experience managing professional staff, including feedback, accountability, hiring, and performance improvement Demonstrated responsibility for financial performance, budgeting, billing, staffing, workflow, technology, and risk controls A record of measurable improvement, not just maintenance of inherited systems Experience working closely with a founder, managing partner, or owner with a strong vision for the organization Strong aptitude for workflows and practice management systems (experience with Clio and/or EOS strongly preferred) Why Caress Law Lead with purpose at a firm with strong values and a clear vision for the future.
