Overnight Senior Mental Health Associate, Adolescent Program

Under the direct supervision of the Program Manager, the Overnight Senior Mental Health Associate facilitates the daily activity of their respective shifts at the Adolescent Program by overseeing scheduling, employee relations and operations for MHA staff. The Senior MHA will facilitate residential activities and manage the resident's safety as outlined by the interdisciplinary treatment team for the delivery of services. Additionally, the MHA Team Lead will promote the use of the Nurtured Heart Approach, as well as the Attachment, Regulation, and Competency interventions (ARC) in all residential activities with the goal of sustaining a safe and comfortable environment for the residents of the program.

Performance Standards:

1. Operations:

• Assign, implement and ensure completion of daily activities on shift (attached)
• Ensure resident safety by maintaining knowledge of residential census and conducting periodic room checks.
• Prepare resident rooms for admission and discharge.
• Facilitate and oversee activities consistent with residential treatment plan of identified life skill needs.
• Implement residential policies/procedures and curriculum for residential living.
• Maintain inventory of supplies and communicate needs to Direct Supervisor.
• In coordination with nursing staff, observe, manage, and document self-administration of medication.
• Supervise and document parent's administration of medication to their children.
• Transport residents to scheduled and/or emergency medical appointments and log as directed. Deliver appropriate documentation to the Nurse for the upkeep of medical records.
• Transport and accompany residents to necessary activities (i.e., grocery shopping, recreational activities, etc.), and appointments (i.e., Board of Social Services, WIC, vocational training, volunteer services, employment, self-help meetings, etc.).
• Facilitate and record fire drills and other emergency drills procedures as instructed.
• Ensure facility compliance with regulatory licensing requirements.
• Provide oversight and maintenance of vehicles, equipment, supplies, or other items related to the program.
• Participate in program, committee and clinical staff meetings as directed.
• Participate in program evaluation and ongoing efforts to enhance quality of services.
• Participate in training programs to enhance teamwork, team collaboration, communication and program development.
• Facilitate residential conflict resolution and provide crisis intervention as needed.

Mental Health Associate Oversight:

• Work with the Program Manager to provide comprehensive, collaborative, and clear supervision of all Mental Health Associates.
• Work with the Program Manager to ensure proper orientation and training and offer ongoing feedback to all non-clinical staff.
• Ensure that performance reviews are conducted during the appropriate time periods for all direct reports.
• Assist Program Manager with the supervision of MHA staff members and provide ongoing performance feedback.
• In conjunction with the Program Manager, identify the need for additional staff and participate in the recruitment, interviewing and hiring of staff.
• Work with Program Manager and HR regarding staff appraisals and managing employee relations including addressing and documenting staff issues.
• Approve work schedules, time sheets, and leave time requests for all non-clinical staff and always ensure proper resident/staff ratios.
• Manage and document call-outs.
• Ensure completion of Daily Shift Schedule Assignments and Daily Transportation schedule to be distributed to all staff on shift prior to start of shift.
• Ensure completion of documentation in daily communication log, medication log, incident reports, visitation, etc.
• Oversee, and contribute to MHA activity to maintain a clean, safe, and hygienic building atmosphere and report all negligence to Direct Supervisor.
• Oversee proper orientation and training of MHA staff.
• Act as liaison between MHA staff and Program Management/Clinical team.
• Facilitate decision-making in absence of Program Management/Clinical team.
• Communicate all client and staff pertinent matters to Program Management/Clinical team.

Other:

• Act as a role model for punctuality by arriving for shift at least 5 minutes early.
• Act as role model for attendance by remaining in compliance with program attendance policies.
• Attend Mileau Management trainings which occur monthly either in person or via zoom.
• Attend Program management meetings which occur weekly either in person or via zoom.
• Work as a member of a team to establish and maintain a high level of care and respect for, and communication with residents.
• Work in a consistently professional manner at all times, which includes, but is not limited to, treating all residents, staff, guests, and volunteers with dignity and respect.
• Implement emergency procedures as necessary.
• Perform other duties as directed.
• Act as a role model for setting boundaries and limitations, holding space, and remaining centered during conflict resolutions.
• Model gentle accountability for residents and staff related to boundaries, limitations, and performance expectations.

Shift Assignment Master List 11pm - 7am:

Senior MHA/Zone 1:

• Verify all duties completed by staff each assigned shift
• Review MARS each day for accuracy
• Review mommy and me bonding time reports each day and put in bin
• Review feeding logs each day and put in bin
• Review room and hourly checklists each day and put in bin
• Ensure all staff chores completed
• Assign zones and transportation activities
• Assign and review Relias progress for all staff

3rd Shift:

• Upon beginning of shift, conduct walkthrough and staff communication between shifts
• Collect trash from all trash cans in the building at end of shift
• Complete hourly checklist and feeding logs and provide to Zone 1 staff
• Complete 1 hour of Relias training
• Emergency transports
• Restock supplies in your area
• Complete walkthrough at the end of shift for cleanliness, safety, and overall client observations
• No cleaning necessary on days that cleaning company is on premises

Zone 1:

• Complete shift review
• Completion of medication procedures and logbook
• Review for any missing documentation of medication procedures and logbook. Contact those that are missing items to be corrected and notify applicable team lead of error.
• Complete assigned hourly checks
• Make extra copies of daily paperwork for the building (feeding logs, monitoring logs, hourly checklist, room checklist, fax cover sheets, transport requests, pass requests, allowance, sharp objects sign out sheet, group sign in sheet, program card document expense sheet, incident report sheet, time edit book sheet, visitor's log sheets, vehicle logs, medical binder, key sign in/out sheet, fire drill sheets, finance binder sign out card sheets) and replenish supply as needed.
• Office cleanliness- sweep, mop, sanitize desks, copier and phones, empty shredder, wipe all door handles, clean windows (inside and out)
• Clean stairwell sweep and mop, wipe down the railing and door handles
