Document Control ClerkLocation: Vernon, TXReporting to the Project Manager, this role is responsible for ensuring that document control needs on a large mega project are met in a timely and accurate manner ensuring that best practice is consistently met.Primary Duties:Understand current business objectives, challenges, and issues in relation to Information ManagementAssist in system and process improvements in document and data managementUnderstand compliance requirements for document and data managementUndertake a range of document control activities to ensure all project requirements are met with respect to incoming and outgoing documentation, and in accordance with accepted company processes and required deadlinesAssist in the administration of project EDMS including, ensuring deliverables are kept up to date and follow appropriate DC processes, procedures, and practicesTransmittal and distribution of documents to both internal and external clients based on document distribution matrices (DDM)Act as focal point for all enquiries on project documentation for the project, clients, suppliers and third partiesAwareness of Yates archival requirements for hard copy and electronic recordsAssist with project start up documents, such as distribution matrices, deliverables register document control plan and its associated procedures, templates, and work instructionsDemonstrate Yates Core Values and PrinciplesFollow Yates Code of ConductSafety Responsibilities and ExpectationsResponsible for refusing unsafe work and for carrying out all work in accordance with the established Yates Safety Procedures and Work PracticesReport all incidents, near hits and hazards to management.Required to wear and maintain personal PPE.Advise fellow employees of hazardous situations.Participate in workplace inspections.Comply with statutory requirements, including duty of care.Participate in required and/or assigned training.Provide suggestions to improve Safety.Present a mature approach to working safely.Attend prestart and Safety meetings and contribute.Assists with administering the site safety program as required and ensuring Trade Partner compliance with OSHA standards and Yates Site Specific Requirements and all applicable safety codes and regulations.Other related duties as needed and assigned by the Manager in support of the successful completion of the project.Qualifications:Highschool Diploma or GEDBachelor's degree preferredProjectSight Trimble experienceRequirements:Approximately one (1) to two (2) years' experience in document controlExposure to EPCM projectsExposure to Information Management TechnologiesKnowledge working in a project engineering environmentExperience and knowledge in start-up, execution, and handover DM/ IM activitiesAwareness of records management and archiving principlesProjectSight Trimble experienceCompetencies:High level of prioritization and time management to meet strict deadlinesDetailed OrientedProjectSight TrimbleAdaptabilityCommunicationCollaborationTime ManagementPhysical Demands/Essential Job Functions:This job description reflects an assignment of essential functions; it does not prescribe or restrict the tasks that may be assigned.
