Advancement Associate

The Advancement Associate reports to the Director of Advancement and provides administrative, fundraising, communications, and event support to the Advancement Department. The Advancement Associate helps maintain donor and prospect records, supports fundraising and grant activities, coordinates events, conducts prospect research, prepares reports, coordinates vendors and event logistics, and helps ensure the efficient day-to-day operation of the department. The position also provides limited support for communications projects, including social media, photography, videography, and print materials, as needed.

This is a hybrid position based on the needs of the program. The position is located at 833 Chestnut St, Suite 1100, Philadelphia, PA 19107. The hybrid schedule requires three consecutive days in-office. The schedule will be Monday - Friday, 8:00AM - 4:00PM (Can also be 8:30AM - 4:30PM or 9:00AM - 5:00PM). The salary range for this position will be $45,000 - $50,000 annually.

• Work with the Director of Advancement and other members of the MHP Executive Leadership team to manage a year-round calendar of fundraising activities including: e-mail and direct mail campaigns, individual and institutional donor solicitations and stewardship, and special events.
• Maintain and update donor and prospect records in MHP's CRM, Little Green Light, including researching missing contact information, updating constituent records, conducting prospect research and wealth screening, and preparing relationship maps to support fundraising efforts.
• Manage logistics and coordinate with leadership, staff, volunteers, vendors, and special guests to produce successful fundraising and donor engagement events that raise revenue, attract new supporters, strengthen donor relationships, and promote MHP's mission.
• Coordinate with event and development vendors, including obtaining quotes, scheduling services, tracking deliverables, and assisting with invoices and related documentation.
• Assist in preparing institutional and corporate funding proposals and reports.
• Assist with tracking the Advancement Department's budget, including revenue and expenses.
• Support the day-to-day operations of the Advancement Department, including gift processing, database management, donor and prospect research, reporting, and maintaining the integrity of donor records.
• Prepare donor acknowledgments, stewardship materials, and other donor communications as assigned.
• Prepare donor, prospect, fundraising, and event reports using Little Green Light and other software.
• Provide administrative support to the Director of Advancement, including scheduling meetings, organizing events, and assisting with special projects.
• Organize and maintain Advancement Department files, records, ensuring information is accurate, current, and easily accessible.
• Communicate with donors, prospects, vendors, and other stakeholders by phone, email, and mail as needed.
• Assist the Director of Advancement with the development and distribution of digital and print communications, including appeal letters, email marketing, website content, social media, event marketing materials, and the annual report.
• Represent MHP as a professional and enthusiastic ambassador in communicating with donors, event attendees, and other stakeholders.
• Maintains compliance with all MHP policies and procedures. Reports known conduct taken by any MHP employee (including yourself) which violates any MHP policy or law on which you have been trained, or should know of, such as laws criminalizing theft or violent crimes, and reports the matter to management or to the Director – Quality Affairs and/or Human Resources.
• Other duties as assigned to fulfill MHP's mission.

Requirements

• Bachelor's degree required in a related field.
• 3+ years of experience in a nonprofit organization, with demonstrated success in a fundraising and event planning role.
• Understanding of fundraising and event planning best practices.
• Familiarity with donor databases (Little Green Light or similar).
• Excellent communication skills, both written and oral; ability to effectively and concisely present information and respond to questions from the general public, funding partners, and other donors/stakeholders.
• Ability to work both independently without close oversight, but also a team player who will productively engage with others at varying levels of seniority within and outside MHP.
• Strong organizational and time management skills with exceptional attention to detail.
• Must possess basic computer skills to perform job duties and the ability to learn software applications relevant to the position.
• Ability to work independently and to carry out assignments to completion within parameters of instructions given and standard accepted practices.
• Must be able to manage multiple priorities concurrently and meet deadlines.
• Must possess a valid driver's license.
