Review and interpret trust agreements and related documents to identify administrative requirements, fiduciary powers, distribution standards, beneficiary rights, notice obligations, directed trust provisions, trust protector provisions, and other relevant terms. Prepare trust summaries, administrative checklists, account acceptance materials, client event memoranda, discretionary action requests, and other fiduciary documentation. Coordinate and document discretionary distribution requests, including gathering relevant information, analyzing trust terms and circumstances, preparing recommendations or internal memoranda, tracking approvals, and ensuring timely implementation. Monitor time-sensitive administration matters, including required notices, distribution deadlines, tax-related deadlines, account reviews, document updates, and other obligations. Support annual account reviews, Reg 9 reviews, internal relationship reviews, compliance reviews, and periodic client mailings. Coordinate with Portfolio Managers, Operations, Compliance, Legal, Tax, and other internal partners to ensure timely and accurate administration of trust accounts. Assist with account openings, closings, trustee appointments and resignations, asset transfers, beneficiary changes, administrative updates, and other trust maintenance matters. Monitor trust assets, liquidity needs, distributions, receipts, expenses, fees, tax payments, and other administrative activity. Coordinate with internal and external tax professionals regarding fiduciary income tax matters, estimated tax payments, tax reporting, K-1s, and related administrative requirements. Support trust modifications, decantings, nonjudicial settlement agreements, directed trust arrangements, trust protector matters, changes of situs, trustee changes, and other complex fiduciary matters. Assist with administration of special assets, closely held business interests, real estate, concentrated positions, tangible personal property, and other unique assets as needed. Maintain organized and complete trust records in accordance with internal policies, fiduciary standards, and regulatory expectations. Identify administrative, fiduciary, tax, operational, and relationship issues and elevate matters appropriately. Participate in special projects, process improvements, policy implementation, and initiatives supporting the Delaware trust business and broader fiduciary platform. Support the Chief Fiduciary Officer and other senior fiduciary leadership on fiduciary governance matters, including preparation for fiduciary committee meetings, board reporting, policy implementation, and related fiduciary oversight initiatives. Specific Qualifications: Minimum of 5-7 years of trust administration experience with a trust company, bank, law firm, family office, or financial institution preferred. Experience administering Delaware trusts strongly preferred. JD, CTFA, or other relevant fiduciary, legal, tax, or trust designation preferred. Understanding of fiduciary income tax concepts and administrative requirements associated with trust taxation. Experience with discretionary distributions, account reviews, Reg 9 reviews, compliance reviews, and fiduciary policies and procedures. Excellent written and verbal communication skills. Strong client-service orientation and ability to communicate effectively with sophisticated clients, beneficiaries, attorneys, accountants, and internal partners. Exceptional attention to detail, strong organizational skills, and ability to manage multiple priorities and deadlines simultaneously. Sound fiduciary judgment, discretion, and ability to handle confidential information. Ability to work independently while maintaining a collaborative approach with Wealth & Fiduciary Advisors and other colleagues.
