Job Title: Payroll and Accounts Payable Specialist
Description
This role combines payroll processing, accounts payable support, and general office administration to ensure smooth day-to-day operations. You will manage weekly payroll for a small team, support invoice and payment processing, and provide essential administrative support in a quiet, fast-paced office. This position offers significant growth potential, with the opportunity to develop into a management role over the next few years.
Responsibilities
Process weekly payroll for approximately 30–50 employees, ensuring accuracy, completeness, and timely submission.
Review and verify timesheets, job codes, and supporting details before processing payroll.
Enter and maintain payroll data within the system, promptly identifying and resolving discrepancies.
Communicate with employees, foremen, and leadership to collect, clarify, and confirm payroll information.
Maintain accurate and up-to-date payroll records while safeguarding the confidentiality of all employee data.
Support weekly accounts payable processes, including tracking purchase orders, invoices, delivery tickets, and receipts.
Enter invoice data into the accounting system and maintain accurate, organized accounts payable records.
Communicate with vendors to request information, clarify charges, and resolve discrepancies related to invoices or payments.
Assist with organizing and preparing documentation required for payment processing.
Answer incoming calls and assist with general office inquiries in a professional and helpful manner.
Receive, log, and manage deliveries to the office.
Support onboarding activities, including new hire orientation and tracking employee information.
Scan, file, and organize documents both physically and electronically to maintain orderly records.
Create and update documents using Excel, Word, and PDF tools to support payroll, accounts payable, and administrative needs.
Assist with tracking applicants and supporting recruiting-related activities.
Perform general data entry and provide additional administrative support as needed.
Maintain strict confidentiality of employee and company information at all times.
Essential Skills
At least 2+ years of experience in a payroll or bookkeeping role.
Hands-on experience with payroll processing, preferably weekly payroll.
Experience using QuickBooks Desktop (2024 or similar).
Proficiency in Microsoft Office, particularly Excel and Outlook.
Strong data entry skills with a high level of accuracy and attention to detail.
Ability to communicate clearly and professionally with employees, vendors, and leadership.
Comfort managing multiple responsibilities in a fast-moving, detail-driven environment.
Experience working with and editing PDF documents.
Strong organizational skills with the ability to prioritize tasks effectively.
Ability to work independently and handle sensitive information with discretion.
Practical knowledge of payroll, accounts payable, accounting, and bookkeeping processes.
Additional Skills & Qualifications
Experience using Excel for creating and updating spreadsheets, reports, and tracking documents.
Comfort working in QuickBooks and similar accounting software environments.
Proven ability to support both payroll and accounts payable functions concurrently.
Experience supporting onboarding, new hire documentation, and applicant tracking.
Demonstrated reliability and consistency in meeting deadlines for weekly payroll and payables.
Interest in professional growth and readiness to assume increased responsibility over time, with potential to grow into a management position.
Work Environment
This is a fully on-site position, working 5 days per week in a quiet office environment. Standard hours are approximately 7:30 a.m. to 4:00 p.m. with a 30-minute lunch break, with some flexibility to start at 8:00 or 8:30 a.m. if needed. The office is small, and the primary office staff will largely consist of you and one other team member, allowing for focused work and close collaboration. You will work on standard office equipment and use tools such as QuickBooks Desktop, Microsoft Excel, Outlook, and PDF software on a daily basis.

Pay and Benefits
The pay range for this position is $62400.00 - $75000.00/hr.
