PROGRAM COORDINATOR

DATE: September 2026 JOB TITLE: Program Coordinator HOURS: 30 hours/week (potential for full-time), remote and in-person EMPLOYER: Highland Friendship Club SALARY: $22-25/hour commensurate with experience Highland Friendship Club (HFC) is a nonprofit community resource that provides adults with developmental and learning disabilities opportunities for friendship, connection, recreation, personal growth, and a fuller life, while offering their parents/caregivers solutions and support. HFC provides a wide variety of in-person, virtual, and community-based programs and activities designed to promote social connection, lifelong learning, independence, and meaningful participation in the community. Check out our organization at The Program Coordinator (PC) assists with the design, implementation, evaluation, and improvement of HFC programs and activities consistent with the mission and values of the organization. This position is responsible for assisting with day-to-day program operations and for ensuring safety, security, and high-quality experiences for HFC members while they are engaged in HFC activities. The PC is a hands-on position that requires working directly with our staff and members during HFC’s in-person, virtual, and hybrid programming. The ideal candidate is organized, creative, flexible, and comfortable balancing program coordination and administrative responsibilities with direct interaction and support of people with disabilities. KEY RESPONSIBILITIES Programming Attend and lead in-person and virtual programming, ensuring that all HFC policies regarding sign-in, sign-out, sicknesses, and parent/caregiver guidelines are followed to HFC standards to ensure member safety and success in programs. Support HFC Staff, contractors, and volunteers to ensure they understand expectations and uphold the necessary quality of HFC programming. Assist with the planning, scheduling, and coordinating of all aspects of programming. Hold a regular presence in HFC programming, encouraging member engagement, participation, and social connection. Communicate effectively with HFC contractors in the planning and execution of programs. Solve problems and provide conflict resolution. Record observations and collect data when required for reporting purposes. Collaborate with Executive Director, Program Director, and Office Administrator on various projects, including event support and member registration. Respect confidentiality. Member Care & Communication Make initial contact with new members to introduce them to HFC, learn about their interests, strengths, needs, and goals, make recommendations for programming they would be interested in, and make them feel comfortable as they join HFC. Connect with members and members’ parents/caregivers as appropriate to ensure that critical information about the member’s level of participation, safety, and well-being is communicated and that potential issues are resolved. Correspond with parents and caregivers as to the needs and accomplishments of their members. Work with other staff members to ensure that appropriate member information is being shared to offer the highest quality programming and support for everyone. Build positive, trusting relationships with HFC members and their families and promote an inclusive, respectful, and welcoming environment in all HFC programs and interactions. Help identify and address potential concerns or barriers to participation and work with families and staff to develop appropriate solutions. Administration Meet regularly with Program Director and second Program Coordinator to discuss relevant information about programming, make plans for program improvement, and ensure that all programs are functioning to achieve their respective goals and outcomes. Work with HFC office staff to publish a calendar of member activities and programs on a seasonal and weekly basis. Assist in the set-up and maintenance of RegPack seasons and member registration. Send daily program emails to members, staff, contractors, and volunteers each day for programs HFC offers, including all important information about programming. Assist with ensuring that relevant program and member data is collected, analyzed, and reported, including maintaining database of Member Questionnaires and Waivers. Participate in committee meetings and organizational events as assigned. And other duties as assigned. QUALIFICATIONS Bachelor’s Degree in social work, education, human services, or a related field preferred. 1 - 3 years of experience working with individuals with developmental and/or intellectual disabilities or other populations requiring individualized support. Experience working in community-based programming, recreation, education, social services, or a related setting is a plus. Additional skills and competencies include: Commitment to promoting a culture of learning, leadership, collaboration, inclusion, and respect. Strong organizational skills, problem-solving skills, ability to juggle multiple projects, work efficiently and meet strict deadlines. Experience with curriculum development, training, and/or teaching. Creativity, resourcefulness, and depth of knowledge regarding cultural and community resources. Excellent interpersonal skills and a track record of forming and maintaining key professional relationships that both support the organization and build the organization’s professional credibility. Superior writing, listening, speaking, and facilitation skills. Ability to work both independently and collaboratively as part of a small team. Aptitude for and interest in learning new software tools and programs. Ability to lift and carry up to 40 lbs. Valid driver’s license, consent to a background check, and reliable vehicle required upon job acceptance. WORK ENVIRONMENT AND SCHEDULE: This position includes a combination of remote administrative work (30-50%) and in-person HFC programming (50-70%). The Program Coordinator should expect regular interaction with HFC members and occasional evening and weekend programming and events. Because HFC programming takes place at various community locations, the ability and willingness to travel locally to programs and activities is required.
