Practice Operations and Revenue Cycle Manager

Schedule: Full-time, Monday–Friday, approximately 40 hours/week. About KCLA Ketamine Clinics Los Angeles is a family-owned outpatient mental health practice that has helped pioneer innovative psychiatry since 2014. We provide Ketamine Therapy, TMS Therapy, Spravato, medication management, holistic psychiatry, and integrative mental health services. We are a high-touch practice that values sound judgment, accountability, attention to detail, teamwork, discretion, and genuine care for patients and colleagues. The Role KCLA is seeking an experienced healthcare operations leader to manage daily practice operations, strengthen revenue cycle performance, supervise patient services, and serve as the administrative owner of our Spravato program . This is a hands‑on, highly visible role requiring someone who can move comfortably between Spravato workflows, payer and pharmacy issues, billing reports, staff management, and complex patient needs. Our core systems and processes are established. We're looking for someone who can take ownership of execution, maintain high standards, identify problems early, and ensure the team follows through. Candidates must have directly managed the administrative lifecycle of Spravato patients in an outpatient setting. Clinical decisions and patient monitoring remain with licensed clinical staff. What You\'ll Own Manage the administrative Spravato patient journey from referral and benefit verification through authorization, medication readiness, scheduling, documentation, claim readiness, and payment reconciliation. Maintain daily readiness for treatments, including authorizations, medication availability, required paperwork, transportation, and scheduling. Coordinate specialty pharmacy and buy‑and‑bill workflows, medication delivery, inventory records, and patient‑specific reconciliation. Track required REMS activities and ensure staff follow established policies and checklists. Ensure documentation is complete and claims are ready for timely submission. Oversee eligibility, prior authorizations, coding readiness, denials, patient balances, payment follow-up, and payer escalations. Manage the relationship and open issues with the third‑party billing team. Review billing and A/R reports, identify revenue leakage or process breakdowns, and drive issues through resolution. Support credentialing, insurance, and provider directory accuracy. Supervise the Senior Patient Services Coordinator and provide daily direction, coaching, prioritization, and quality control. Establish clear expectations for patient service, work queues, coverage, and follow‑through. Coordinate closely with providers, clinical staff, the Executive Director, and CEO. Resolve complex patient service issues with professionalism, empathy, and sound judgment. Maintain practical SOPs, checklists, trackers, and management reports. Step in to support front‑office coverage when needed. Systems & Reporting Ensure accurate use of the EHR, CRM, phone system, shared work queues, and other practice platforms. Maintain strong data quality and workflow compliance. Provide concise reporting on Spravato volume, claims, collections, and operational risks. Qualifications Direct experience managing the administrative Spravato workflow in an outpatient clinic is required , including REMS, benefit verification, prior authorization, specialty pharmacy and/or buy‑and‑bill processes, scheduling, treatment readiness, documentation, and claim readiness. 5+ years of progressively responsible experience in healthcare administration, practice operations, revenue cycle, patient access, or specialty treatment. Strong experience with prior authorizations, medical billing workflows, denials, patient balances, and payer escalations. Previous supervisory or team leadership experience. Strong organization, judgment, communication, and problem‑solving skills. Proficiency with EHR systems, spreadsheets, work queues, and reporting tools. Ability to work fully onsite in Los Angeles. Preferred Experience Psychiatry, behavioral health, infusion services, ketamine therapy, TMS, specialty medication, or another complex outpatient setting. Both specialty pharmacy and buy‑and‑bill medication pathways. Credentialing, provider directories, CRM workflow management, or healthcare reporting. Expected base compensation is $70,000–$100,000 , depending on direct Spravato experience, revenue cycle expertise, leadership experience, qualifications, and final scope.
