About the Role

We are seeking a detail-oriented and proactive HR Specialist to join our team. This position plays a key role in supporting daily HR operations, ensuring compliance, maintaining employee records, and assisting with recruitment and onboarding activities. The ideal candidate is organized, professional, and able to manage multiple responsibilities in a fast-paced environment.

Key Responsibilities

1. HR Operations & Compliance

- Manage employee onboarding, offboarding, training, probation, and transfer procedures.

- Maintain accurate employee files, HR documents, and personnel records.

- Handle I-9 verification, E-Verify submissions, and monitor work authorization compliance.

- Ensure adherence to company policies, labor regulations, and internal HR processes.

- Support documentation for audits, legal compliance, and internal controls.

- Maintain practical knowledge of and experience with applicable federal and Florida labor and employment laws, and apply such knowledge to HR operations, employee relations, and workplace compliance matters.

- Administer employee benefits programs, including enrollment, changes, terminations, and COBRA administration.

- Manage workers’ compensation administration, including workplace injury reporting, claims coordination, documentation, and insurance-related matters.

2. Recruitment & Talent Support

- Post job openings on hiring platforms and manage candidate pipeline.

- Screen resumes, coordinate interviews, and communicate with candidates.

- Assist in preparing offer letters, job descriptions, and hiring paperwork.

3. Attendance, Leave & HR Systems

- Manage daily attendance, PTO, and leave tracking.

- Update and maintain HRIS or internal systems with accurate employee data.

- Prepare and maintain HR-related reports for management.

4. Employee Relations & Communication

- Support employee engagement activities, communication initiatives, and training programs.

- Serve as a point of contact for employee inquiries regarding HR policies, benefits, and payroll coordination.

- Help resolve employee issues with professionalism and confidentiality.

5. Performance & Administrative Support

- Assist in performance evaluation tracking and documentation.

- Coordinate internal training sessions, onboarding schedules, and HR events.

- Support management with ad-hoc HR tasks as needed.

Qualifications

- Bachelor’s degree in Human Resources, Business Administration, or related field preferred.

- 1–3 years of HR experience (HR Generalist, HR Assistant, or similar role).

- Familiarity with U.S. labor laws, I-9/E-Verify, HR files management, and compliance requirements.

- Strong attention to detail and excellent organizational skills.

- Ability to handle sensitive information confidentially.

- Proficiency in MS Office (Excel, Word) and HRIS systems.

- Bilingual skills (English/Spanish or English/Chinese) are a plus.
