We are looking for an Office Assistant to support daily office services operations in Portland, Oregon. This Long-term Contract position is ideal for someone who enjoys hands-on administrative work, stays organized in a fast-paced environment, and takes pride in providing reliable service across mail, facilities, and meeting support functions. The role includes part-time hours of approximately 20 hours per week, with occasional additional hours by mutual agreement.

Responsibilities:

• Coordinate meeting room arrangements for onsite events and ensure spaces are ready for use.

• Handle incoming and outgoing mail, packages, and expedited shipments while maintaining timely distribution across departments.

• Use mailing and printing equipment effectively, identify routine issues, and assist with basic troubleshooting to keep workflows moving.

• Monitor inventory for mailing and office-related supplies and place replenishment requests when stock runs low.

• Conduct facility checks, support site-related tasks, and communicate observations or issues to the supervisor.

• Prepare reports, records, and other documents with close attention to accuracy and compliance standards.

• Work with internal teams to confirm mailing details, resolve delivery questions, and maintain steady mail processing operations.

• Provide guidance and day-to-day support to less experienced staff when assigned, including sharing training feedback with leadership.

• Drive company vehicles as needed to complete messenger or delivery duties in accordance with applicable laws and company expectations.

• Perform software updates and assist with additional office support tasks as needed to meet operational requirements.

• Basic reading and math skills with the ability to complete routine office tasks accurately.
• Prior experience in customer service, office support, mail handling, shipping, or related administrative work is preferred.
• Familiarity with common mailing carriers, shipping procedures, and package tracking practices is preferred.
• Ability to type at least 35 words per minute and perform data entry at approximately 6,000 keystrokes per hour with strong accuracy.
• Proficiency with Microsoft office tools and the ability to learn operational software used for mail and office services.
• Strong organizational skills with the ability to manage multiple priorities and meet deadlines consistently.
• Valid Oregon or Washington driver’s license with a satisfactory driving record and ability to operate company vehicles when required.
• Reliable attendance, punctuality, adaptability, and a detail-oriented communication style in a team-oriented workplace.
