Overview PAS Specialist – US-OR-Portland Requisition ID: 2025-36144 Position Category: Hospital/Clinic Support Job Type: AFSCME union represented Position Type: Regular Full-Time Posting Department: HC.Interdisciplinary Breast Clinic Posting Salary Range: $23.63 - $31.98 per hour Posting FTE: 1.00 Posting Schedule: Monday - Friday Posting Hours: 8:00am - 5:00pm HR Mission: Healthcare Drug Testable: No Department Overview The Patient Access Specialist (PAS) gathers and records required information about patients, provides customer services which includes confirming health insurance coverage, determining individual financial obligations, verifying that necessary authorizations for care have been obtained, scheduling physician office appointments, cancer treatment appointments, and ancillary appointments, and assisting patients in an office or practice setting. This position may be responsible for scheduling a high volume of complicated patient procedures and clinic appointments. This position will serve as a liaison and information resources for physicians, nursing support staff, and coworkers, referring physician offices, patients and insurance companies on referral requirements per diagnosis and services. This role will be required to answer approximately 20% calls to the clinic, to schedule, transfer, or triage to a clinical team. This role will explain detailed complicated procedures to patients and answer any patient questions or concerns within scope. Works closely with other medicine/surgery clinics for appointment coordination. Works reschedule and wait lists when necessary; Prepare and mail, fax, or email new patient information packets when necessary; Direct patients to appropriate providers for other health care issues; Enter patient information accurately into the electronic medical record when necessary. Function/Duties of Position Key Responsibilities & Performance Standards Customer Service: Provide the highest level of customer service to external and internal customers that meet or exceed the service standards of the health care industry, including prompt and professional communication, crisis management, and continuous process improvement. Call Processing: Connect patients to the appropriate individual; transfer calls to schedulers, create telephone encounters, contact nursing coordinators, and page providers as needed; schedule and manage patient access to Oncology services; document requests in Epic; triage calls to appropriate staff; handle 60-80 calls per day (approx. 20% of clinic volume). Check-in/Checkout: Check out clinic, procedure, and infusion appointments; review insurance benefits and eligibility; confirm appointment details; identify and update deductible payments and co-pays; use appropriate forms for all patients. Scheduling: Coordinate patient care appointments; serve as liaison for physicians and nursing staff; return phone messages; prepare and mail patient information packets; complete referrals; enter patient data into the EMR; maintain oncology practice knowledge. Integrated Care: Obtain prior medical records; obtain, record, track, and verify referrals and authorizations for outpatient visits as needed. Administrative Duties: Faxing, mail sorting, and related duties; other duties as assigned. Continued Professional Development: Participate in educational activities; attend meetings; review vendor documentation and publications; share information with peers. Required Qualifications Six months of work experience in a medical office setting, including high-volume direct patient contact OR one year of work experience in a high-volume direct public contact position. Knowledge and Skills Required: Basic computer keyboarding skills including typing of 30-45 wpm. Note: Successful completion of a formal OHSU Administrative Internship Program can substitute for one year of experience. Contact Compensation for eligibility. Preferred Qualifications HS Diploma or advanced degree preferred. Experience in a medical and/or oncology office setting. Appointment scheduling experience. Basic computer keyboarding skills including typing of 40-50 wpm. Proficient computer skills including word processing. Extremely high level of attention to detail. Strong customer service orientation. Excellent verbal and written communication, listening skills and self-awareness. Demonstrated reliable attendance. Ability to handle confrontational customer interactions. Problem solving and negotiation skills in resolving patient concerns and scheduling challenges. Understanding of managed care; knowledge of Epic systems; knowledge of OHSU network systems (Outlook and Microsoft Office).
