We are seeking a professional, organized, and dependable Front Desk / Administrative Assistant to join our growing team. This individual will serve as the first point of contact for clients, visitors, vendors, and staff while supporting daily office operations and administrative functions.

This role is ideal for someone who is detail-oriented, customer-service driven, and interested in long-term growth opportunities, especially within the construction industry.

Key Responsibilities

Front Desk Duties

  • Greet and assist clients, visitors, vendors, and subcontractors professionally
  • Answer, screen, and direct incoming phone calls and emails
  • Maintain a clean, organized, and welcoming reception area
  • Receive and distribute mail, packages, and deliveries
  • Schedule appointments and manage office calendars

Administrative Duties

  • Perform general clerical tasks including filing, scanning, copying, and data entry
  • Prepare and organize documents, reports, invoices, and correspondence
  • Maintain office records and filing systems
  • Assist with scheduling meetings and coordinating office activities
  • Order office supplies and maintain inventory
  • Support management and team members with administrative tasks as needed
  • Maintain confidentiality of company and client information

Accounting & Office Support

  • Utilize QuickBooks Online for invoicing, tracking expenses, and basic bookkeeping support
  • Assist with accounts payable and accounts receivable tasks
  • Maintain organized financial and project-related documentation
  • Support project coordination and administrative processes within the construction industry

Qualifications

  • Minimum of 2 years of experience with QuickBooks Online required
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Previous front desk, receptionist, or administrative experience preferred
  • Strong communication and customer service skills
  • Excellent organizational and multitasking abilities
  • Professional appearance and positive attitude
  • Ability to work independently and in a team environment
  • Strong attention to detail and problem-solving skills
  • Bilingual (Spanish) is a plus
