Scheduled Weekly Hours 40 Benefit Eligible Yes Screening Date 2026-08-14 Job Description Summary Responsible for coordinating and ensuring compliance in theawarding of University departmental scholarship awards. Thisposition provides updates to over 80 University departments onscholarship criteria and fund management. Job Description Essential Duties Coordinates the awarding and processes nearly $5,000,000departmental scholarship awards each year by reviewing andinterpreting the legal endowed gift agreements for over 2,400scholarship accounts to ensure compliance. Responsible for awarding institutional funds for programs suchas athletics. Responsible for processing over $250,000 in awards each yearfor the Paper Science & Engineering Foundation and over$1,000,000 in summer scholarships for graduate students. Acts as liaison with over 80 University departments regardingthe awarding of University scholarships. Organizes and manages Google folders/access for scholarshipfunds. These folders are used to disseminate scholarship fundbalances and procedures to departments and outside organizations.Creates and runs reports for departments as needed. Ensures alldepartments complete a nomination or expenditure plan each year(funds over $999), which often involves multiple points ofcontact. Responsible for setting up new scholarship funds. Audits (SQL,Access, VLOOKUP) over 3000 funds and inactivates funds asappropriate. Works closely with University Advancement to ensurethe set up of funds are in line with the donor’s intent. Annually awards over 200 non-renewable funds to students whichrequires creating/running reports to determine eligibility.Processes Replacement report which replaces institutionalscholarships with donor funds ($2,000,000+). Responsible for processing actions for scholarships,competition/prizes, and stipends. Responsible for maintaining various electronic files, includingstudent and scholarship files.This responsibility includes recordretention as well as general maintenance and care. Develops and maintains department policy and procedures relatedto the administration of scholarships. Assists students, parents, faculty, and staff with financialaid questions including scholarship eligibility and status. Functions as back-up for other scholarship staff when they areunavailable. Also serves as a back-up Counselor assisting withprocessing, meeting with families, and presentations. Performs other duties as assigned Minimum Qualifications Coordinator role: Bachelor’s or Associate’s Degree, or 2 years of experience. Senior Coordinator role: Bachelor’s Degree and one year of experience; Associate’s Degreeand one year of experience or 3 years of experience. All experiencemust be in a Student Financial Assistance or like office and may begained concurrently while earning a degree. Required Knowledge, Skills, and Abilities Strong communication skills, excellent interpersonal,organizational, and planning skills, proven customer serviceskills, excellent data entry, effective presentation skills, andthe ability to work cooperatively with others. Attention to detail, accuracy and problem-solving skills areessential.
