The Benefits Coordinator administers and supports employee benefit programs for a diverse workforce of more than 600 employees. This position serves as the primary point of contact for benefit-related questions and is responsible for ensuring accurate enrollment, eligibility management, employee communication, vendor coordination, regulatory compliance, and data integrity within BambooHR and related systems. The Benefits Coordinator partners closely with employees, insurance carriers, brokers, payroll, and Human Resources to deliver exceptional service, support employee well-being, and ensure the effective administration of all benefit programs.
ESSENTIAL RESPONSIBILITIES
- Administer employee benefit programs including medical, dental, vision, life, disability, retirement, Employee Assistance Program (EAP), and voluntary benefit plans.
- Serve as the primary point of contact for employee benefit inquiries and provide exceptional customer service to employees, managers, retirees, and vendors.
- Coordinate new hire enrollments, qualifying life events, benefit changes, annual open enrollment, and benefit terminations.
- Ensure accurate processing and maintenance of employee benefit records, eligibility data, and enrollment information within BambooHR and related systems.
- Partner with insurance carriers, brokers, retirement plan providers, and third-party vendors to resolve issues, implement plan changes, and support ongoing benefit administration.
- Support benefit renewals, open enrollment planning, audits, reporting, and regulatory filings.
- Generate, analyze, and maintain benefit-related reports, data, and records to support organizational planning, compliance, and decision-making.
- Participate in HR technology initiatives, including BambooHR administration, system integrations, data integrity audits, process improvements, and troubleshooting.
- Conduct benefit orientations and employee education sessions and develop benefit communication materials and resources.
- Assist with employee engagement activities, wellness initiatives, open enrollment events, and other employee-focused programs.
- Reconcile benefit invoices, investigate discrepancies, and ensure accurate billing and payroll deductions.
- Maintain compliance with applicable federal and state regulations, including COBRA, HIPAA, ACA, ERISA, and other benefit-related requirements.
- Demonstrate exceptional attention to detail, accountability, organization, and follow-through while managing multiple priorities and deadlines.
- Maintain strict confidentiality of employee information, benefit records, and company data.
- Perform all other duties as assigned.
QUALIFICATIONS
- Requires 5+ years of experience in employee benefits or related field.
- HRIS experience, BambooHR a plus.
- Experience in data research and analysis.
- Familiarity with laws concerning benefits administration.
- Exceptional computer skills (i.e. Microsoft Office) and the ability to learn and adapt to new systems.
- Ability to accurately interpret employee benefits records.
- 401(k) administration and audit experience.
- Experience in reviewing plan documents, service agreements and filing 5500s.
- Exceptional interpersonal and communication skills, and outgoing personality.
