If youre a solutions-driven, passionate change-maker, come join us in positively impacting the lives of millions of people world-wide for a better future./ph3Job Overview/h3pAs an assistant dual reporting into the Presidents Office and the Global Board Engagement team, you will be responsible for providing high-level administrative and logistical support to advance the work of the President/CEO and IRCs Global Board. This unique, cross-functional role offers a front-row seat to organizational leadership and governance, requiring exceptional judgment, attention to detail, and the ability to handle critical information with discretion. You will help ensure the Presidents Office and IRCs Global Board run smoothly and efficiently!/ph3Major Responsibilities/h3h3Presidents Office/h3ulliMeeting Preparation: Collect, organize, and assemble briefing materials in both digital and hard copy formats to fully prepare the CEO for all engagements./liliEmail Management: Review and lead on the CEOs email inbox daily, sorting, prioritizing, and collating incoming emails that require attention, forwarding them to appropriate parties, responding to correspondence on behalf of the CEO, and actioning related tasks./liliSupply Management: Lead and order supplies for the Presidents office team./liliExpense Reporting: Process expense reports and invoices and prepare CEO travel expense reports./liliAdditional Duties: Perform other administrative and job-related duties as assigned./li/ulh3Board Engagement/h3ulliProvide centralized support for the Board Engagement team including maintaining accurate contact information, team-wide materials, email distribution lists, RescueNet/liliWork with both external and internal leadership assistants to schedule yearly committee meetings and board meetings, as well as other ad hoc meetings. Attend in person Board meetings quarterly, providing day of logistical support./liliAttend and take minutes during committee meetings (four committees that each meet three to four times a year). Prepare minutes for external sharing, as well as condense meeting minutes into two-page reports for the Board of Directors review./liliMaintain salesforce records and campaigns for BA members, including updating individual activities and updating other contact and account data./liliExpense reporting: handle purchase requests, the team credit card, and process expense reports and invoices/liliHandle logistics for internal and external meetings (reserving conference rooms and setting up IT as needed)/li/ulh3Key Working Relationships/h3ullistrongPosition Reports To:/strong Dual reports into the Executive Assistant in the Presidents Office and the Associate Director, Global Board Engagement./lilistrongInternal:/strong Works closely with departments across the organization. Key stakeholders include the President/CEO; Leadership Board Assistants; the Vice President, USA Philanthropy; Board Engagement and the Global Board Communications Specialist; and other Presidents Office team members./lilistrongExternal:/strong IRCs Global Board; others as relevant./li/ulh3Work / Educational Experience/h3ulliBachelors degree preferred, but not required./lili3 years of relevant work experience in a fast-paced environment, with gradually increasing responsibilities and a track record of high performance./liliPrior experience working as an administrative assistant./liliExperience working in a non-profit business development department a plus./liliExperience working with high net-worth individuals and/or senior partners a plus./li/ulh3Demonstrated Skills and Competencies/h3ulliBring a can-do attitude, flexibility, and resilience to navigate ambiguity, shifting priorities, and setbacks with positivity and enthusiasm/liliAbility to pivot and adapt to rapidly changing circumstances/liliThrives in a dynamic, fast-paced environment. Ranges are based on various factors including the labor market, job type, internal equity, and budget.
