The Asset Analyst supports the end-to-end management of enterprise hardware and software assets. This role maintains accurate lifecycle, inventory, entitlement, ownership, contract, and compliance records in ServiceNow and related systems. The analyst works across IT, Procurement, Finance, Security, Vendor Management, Service Desk, Infrastructure, and business teams to strengthen governance, improve data quality, reduce risk, and optimize technology investments.

The ideal candidate combines strong analytical skills, process discipline, customer-focused communication, and attention to detail to support operational excellence and audit readiness across the IT asset portfolio.

What you will do

Hardware Asset Management

• Manage hardware assets across the lifecycle, including planning, procurement coordination, receiving, inventory, deployment, assignment, transfer, refresh, reclamation, retirement, and disposal.
• Maintain accurate hardware asset records, including serial number, model, assigned user, location, stockroom, lifecycle status, ownership, and financial information.
• Coordinate receiving, tagging, inventory control, physical audits, stockroom activities, and reconciliation of hardware assets.
• Process asset transfers, returns, recoveries, reassignments, upgrades, and lifecycle exceptions.
• Support laptop refresh, asset reclamation, redeployment, and secure disposal initiatives.
• Investigate and resolve missing, duplicate, unmatched, or inaccurate hardware records.
• Ensure chain-of-custody documentation and asset handling activities align with established policies and control requirements.

Software Asset Management

• Manage software requests, license availability reviews, allocations, assignments, reclamation, and retirement activities.
• Maintain software models, entitlements, installation records, license allocations, contracts, renewals, application ownership, and lifecycle data.
• Monitor software consumption, usage, entitlement positions, compliance status, and optimization opportunities.
• Coordinate software procurement and renewal activities with Procurement, Finance, Vendor Management, application owners, and suppliers.
• Identify unused or underutilized licenses for reclamation, reuse, or cost avoidance.
• Support internal reviews and vendor audits by maintaining complete, accurate, and traceable software records.
• Assist with software catalog governance and ensure approved software information remains accurate and current.
  

  Data, Governance, Reporting, and Process Improvement

• Reconcile asset data across ServiceNow, discovery platforms, procurement records, inventory sources, and supporting systems.
• Monitor and improve asset data completeness, accuracy, consistency, and timeliness.
• Create and maintain reports, dashboards, metrics, and KPIs for inventory health, lifecycle performance, compliance, utilization, reclamation, and cost optimization.
• Investigate data exceptions, identify root causes, and coordinate corrective actions with appropriate stakeholders.
• Support audit readiness by maintaining reliable records, evidence, documentation, and repeatable controls.
• Document and maintain standard operating procedures, process flows, work instructions, and governance standards.
• Participate in ServiceNow enhancements, workflow improvements, integrations, automation, and continuous improvement initiatives.
• Provide customer-focused support for asset-related questions, requests, and escalations.

What you need for this

Required Qualifications

• Associate or bachelor’s degree in Information Technology, Business, Supply Chain, Finance, or a related field, or an equivalent combination of education and relevant experience.
• Experience in IT Asset Management, Hardware Asset Management, Software Asset Management, inventory management, procurement, IT operations, service management, or a related discipline.
• Working knowledge of hardware lifecycle management, inventory controls, reconciliation, chain of custody, and asset data-quality practices.
• Working knowledge of software licensing concepts, entitlements, deployments, allocations, contracts, renewals, compliance, and license optimization.
• Experience using ServiceNow ITAM, CMDB, ITSM, or a comparable asset management platform.
• Proficiency in Microsoft Excel and the ability to analyze, reconcile, and present operational data.
• Strong analytical, problem-solving, organizational, documentation, and time-management skills.
• Excellent written and verbal communication skills, with the ability to work effectively across technical and business teams.
• Ability to manage multiple priorities while maintaining accuracy, confidentiality, and attention to detail.

Preferred Qualifications

• Experience with ServiceNow Hardware Asset Management Professional and/or Software Asset Management Professional.
• Experience with discovery and endpoint management tools such as Microsoft Intune, Configuration Manager, or Jamf.
• Knowledge of IT Asset Management, ITIL, software licensing, compliance, audit, and governance practices.
• ITIL Foundation, Certified IT Asset Manager (CITAM), Certified Hardware Asset Management Professional (CHAMP), Certified Software Asset Manager (CSAM), or comparable certification.
• Experience supporting vendor management, contract administration, procurement, financial analysis, or technology cost optimization.
