Event Planner

Event Planner Staff position – full-time (12 months) – Villanova, PA. Salary range: $57,200–$71,500 (Grade 14). Exempt. Position Summary The Event Planner will report to the Director of Sales and Marketing and assist the entire Sales Department in delivering comprehensive and cohesive quality experiences for all clients of the Inn at Villanova University. Responsibilities include planning, administering, and executing events such as corporate, social, and university events, while ensuring compliance with agreements and company standards. Core Responsibilities Plan and execute event details, including menu, décor, collateral materials, gifts, accommodations, and transportation, ensuring consistency, quality, cost effectiveness, and success. Attend events as required, including evenings and weekends. Maintain records for catering orders, budgets, and room block information for assigned events and provide timely updates to internal and external constituents. Perform additional duties and assist with projects as assigned. Train and empower sales team members to exercise good judgment in making profitable business decisions. Communicate relevant information to team leaders and managers following established communication standards. Minimum Qualifications Formal Education: Bachelor’s Degree or two years of equivalent experience in a related field. Work Experience: Minimum of three (3) years in event management. Work Skills: Strong interpersonal communication skills (verbal, listening, and writing). Ability to handle multiple tasks and changing priorities in a deadline‑sensitive environment. Highly detail‑oriented. Strong time‑management skills. Excellent customer service skills with the ability to address complex requests. Positive outlook and attitude. Innovative, proactive, and reliable. Specific Job Knowledge: Strong knowledge of event planning and relationship management. Equipment Knowledge: Proficiency with PC hardware, software packages, S&C software, and PMS software.
