Senior/Executive Assistant

Location: Austin, TX - Hybrid

We are looking for a Senior and more Junior Executive Assistant to serve as a trusted partner to The Company's

C-Suite leadership. This highly visible role goes beyond traditional administrative support—you will act as a strategic right hand to senior executives, lead Executive Assistants, and lead/partner with the Office Manager to ensure seamless operations across the organization. The ideal candidate is proactive, anticipates needs before they arise, thrives in a fast-paced environment, and brings strong judgment, discretion, and executive presence to every interaction.

What you'll do:

Executive Support & Strategic Partnership

  • Serve as the primary point of contact for C-Suite executives, managing complex calendars, travel logistics, and communications with a high degree of autonomy and professionalism
  • Anticipate executive needs and proactively resolve issues before they escalate, enabling leadership to operate at peak effectiveness
  • Prepare and coordinate executive-level materials including agendas, briefings, presentations, and correspondence
  • Exercise sound judgment and discretion when handling confidential, sensitive, or time-critical information
  • Build and maintain trusted relationships with internal stakeholders, board members, and external partners on behalf of executives

Team Leadership for Sr Role

  • Directly lead and mentor a junior Executive Assistant, providing day-to-day guidance, prioritization support, and professional development coaching
  • Partner closely with the Office Manager to ensure alignment on office operations, events, and administrative workflows
  • Serve as an escalation point for administrative issues and ensure high-quality, consistent output across the support team
  • Model a proactive, solutions-oriented mindset and set the standard for execution excellence

Operational Excellence

  • Coordinate high-priority cross-functional projects, special initiatives, and executive offsites from planning through execution
  • Manage and track key commitments, deadlines, and follow-ups on behalf of the executive team
  • Continuously identify opportunities to improve administrative workflows, tools, and processes for greater efficiency and impact
  • Leverage AI tools and modern productivity platforms to streamline communications, scheduling, and task management

What you'll bring Sr Role:

  • Bachelor’s degree preferred; equivalent experience considered
  • 5+ years of executive assistant experience supporting C-Suite or senior leadership, ideally in a technology or SaaS environment
  • Demonstrated experience leading or mentoring other administrative professionals
  • Exceptional organizational skills with the ability to manage multiple competing priorities without losing attention to detail
  • Strong written and verbal communication skills with executive-level polish
  • High degree of discretion and integrity when handling confidential information
  • Proactive, self-directed problem-solver who anticipates needs rather than waiting to be asked
  • Comfortable operating with ambiguity and adapting quickly in a dynamic, high-growth environment
  • Proficient with Microsoft Office Suite, and modern productivity and AI tools
  • Experience with project coordination, event planning, or cross-functional operations is a plus

What you'll bring Jr Role:

  • High school diploma required; associate’s or bachelor’s degree preferred
  • 2+ years of experience in an administrative, executive assistant, or office coordinator role
  • Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously
  • Excellent written and verbal communication skills
  • Proficient with Windows, Microsoft Office Suite, and Adobe Acrobat
  • Comfortable with digital tools and eager to learn new platforms including AI-enabled productivity tools
  • Collaborative team player who also works well independently
  • Discretion and professionalism when handling sensitive or confidential information
  • Positive, proactive attitude with a strong sense of ownership and follow-through
