Patient Services Assistant II - Spanish-Speaking Preferred (Open & Promotional)

Overview County of San Mateo is seeking customer service-oriented individuals for the Patient Services Assistant role. Assistants perform a variety of duties, including interviewing and registering patients, managing patient appointments, explaining coverage plans, conducting financial screening, verifying insurance, entering and retrieving data on computers, assigning appropriate codes, and processing billing documents. They receive payments for medical services, maintain accurate records, and serve as a receptionist to assist and respond to patient inquiries across various divisions such as the Health System, San Mateo Medical Center, Clinics, Behavioral Health and Recovery Services, Family Health, and Public Health. Responsibilities Answer high‑volume incoming calls, make reminder calls, and schedule appointments over the phone. Educate and assist incoming patients with registration, appointment information, insurance, and wait times. Register or pre‑register new and existing patients. Add and remove patient charges and diagnoses. Verify patient eligibility. Document, record, and enter patient appointments, billing information, insurance plans, and other confidential information in Electronic Medical Records and billing programs. Collect payments from patients in person and through online billing services. Update and maintain accurate records in Electronic Medical Records, billing programs, and onsite filing systems. Generate detailed confidential reports and fill out authorization forms. Assist the Patient Services Supervisor and Clinic Manager with assorted clerical office duties. Additional Requirements Specific positions may require evening, weekend, holiday, or rotating shift work. Some positions may require bilingual skills. Fluency in both English and Spanish is required to be considered for a bilingual position. Specific positions may also require the ability to type at a rate of 40 net words per minute from printed copy. Knowledge, Skills, and Abilities Background knowledge in policies and procedures related to medical patient services, insurance, and billing; medical terminology relevant to office support work; office practices and procedures, including filing, reception, and operation of standard office equipment; basic business data processing principles; use of word processing or computing equipment; business arithmetic; and basic record‑keeping principles and practices. Skills and abilities include: performing accurate and detailed patient services office clerical work; prioritizing work and coordinating several activities; operating standard office equipment, including a word processor and computer terminal; using initiative and sound independent judgment within established guidelines; working effectively with difficult patients; organizing and maintaining accurate files and records; performing accurate arithmetic calculations; establishing effective working relationships; and understanding and carrying out oral and written instructions. Education and Experience Any combination of education and experience that would likely provide the required knowledge, skills, and abilities is qualifying. A typical way to qualify is: Patient Services Assistant II – one year of office support experience that involved direct patient contact in a medical setting.
