Warranty Administrator

Bane-Welker Equipment is seeking a Warranty Administrator to join our team and play a key role in supporting our Service Departments and maximizing warranty recovery. This position is responsible for ensuring warranty claims are accurate, timely, and compliant with manufacturer requirements while helping service teams follow consistent processes and best practices. The ideal candidate is highly organized, detail-oriented, process-minded, and an excellent communicator . This role requires someone who can manage deadlines and documentation while also building strong relationships with Service Managers, technicians, internal teams, and manufacturer representatives. What You’ll Do Warranty Claims & Recovery Review warranty claims for accuracy, completeness, and maximum allowable recovery before submission. Submit warranty claims accurately and within required manufacturer timelines. Monitor and reconcile claim status and communicate updates to the appropriate Service Department. Review warranty policy adjustments and changes to help minimize unnecessary expense and maintain compliance. Work closely with Service Managers and service teams to identify opportunities to improve warranty recovery. Process & Compliance Conduct periodic audits of warranty processes, documentation, and retained records. Ensure warranty procedures meet both manufacturer and Bane-Welker requirements. Monitor completion and documentation of manufacturer programs, recalls, PIPs, PSBs, and other warranty-related requirements. Identify process gaps and work with service leadership to correct issues and improve consistency. Training & Communication Train and support Service Managers, Assistant Service Managers, Service Writers, and technicians on warranty procedures and best practices. Lead warranty training for new Service Managers and Assistant Service Managers. Communicate changes to manufacturer warranty processes, requirements, and compliance expectations. Maintain strong communication with manufacturer representatives and internal teams to stay current on warranty requirements. Process Improvement Help develop, maintain, and improve Bane-Welker warranty SOPs and processes. Support procedures related to parts retention, parts returns, document retention, service policies, and other warranty requirements. Proactively identify opportunities to improve accuracy, efficiency, compliance, and financial recovery. What We’re Looking For Strong attention to detail and commitment to accuracy. Agricultural equipment, dealership, service department, warranty, or parts experience is valuable, but we are willing to train the right candidate. Environmental Factors/Physical Demands Work is performed in an office, maintenance shop and outdoor environment. While performing the duties of this job, the employee is regularly required to have the ability to maintain active customer and employee communication; access, input and retrieve information from the computer system. May be subject to sitting, standing, climbing, lifting, grasping, reaching, stooping, crouching, speaking, listening and motor coordination.
