We are seeking a reliable, organized Scheduling Coordinator to help keep our practice running smoothly and efficiently.
Position Summary
The Scheduling Coordinator plays a key role in managing the daily flow of the practice. This position focuses on scheduling patient appointments, confirming schedules, minimizing cancellations, and ensuring our doctors and hygiene team maintain productive calendars. The ideal candidate is organized, friendly, and professional — someone who enjoys helping patients while maintaining order and efficiency in a busy office.
Key Responsibilities
- Schedule and coordinate patient appointments for doctors and hygiene
- Confirm appointments and communicate expectations clearly
- Protect the schedule by minimizing cancellations and downtime
- Fill openings quickly using recall, reactivation, and short-call lists
- Monitor daily adjustments and collaborate with the team to maintain flow
- Provide excellent patient service by phone and in person
- Support the front office with communication, documentation, and coordination

- Daily/Monthly Productivity Goals Met (doctor & hygiene)
- High Confirmation Rates for next-day and same-day schedules
- Low Cancellation/No-Show Rate through proactive communication
- Strong Hygiene Reappointment Rate
- Efficient Filling of Same-Day Openings
- Recall & Reactivation Conversions (overdue → scheduled)
- Accuracy in Appointment Types & Timing
- Positive Patient Feedback & Communication Ratings
Qualifications
- Dental or medical office experience preferred
- Excellent communication and organizational skills
- Ability to multitask in a fast-paced setting
- Professional, kind, and team-oriented demeanor
- Strong attention to detail
- Comfort with scheduling systems and practice software
