Per Diem Coord-Staffing Coordinator - Jefferson Einstein

Job Summary The Staffing Office Coordinator provides daily staffing functions as well as administrative support for designated Resource Management Centers and ensures accurate use of organizational policies and procedures. This role requires critical thinking, collaborative decision‑making, a high attention to detail, and the ability to function under pressure with a focus on caring customer service. Responsibilities Interact with co‑workers, visitors, and other staff consistent with the values of Jefferson; recognize patients and their family or designated care partners and provide safe, compassionate, and coordinated care respecting patients’ personal preferences, priorities, needs, and cultural beliefs and values. Communicate with and support the interprofessional team and designated care partners. Adjust nursing staff work schedules in accordance with established contracts, policies, and procedures for approval by unit Nurse Manager/Nursing Supervisor. Review and validate projected census in the scheduling system to determine potential staffing shortages and surpluses for each unit or department for upcoming shifts. Engage in ongoing communication with charge nurses, unit managers, and/or the Nursing Supervisor to assess and confirm staffing needs for each unit or department for upcoming shifts. Develop a staffing proposal for review by the Nursing Supervisor on off‑shifts, utilizing critical thinking skills based on acuity, census, and available staff; document with detail and accuracy. Escalate staffing issues according to the established departmental process. Manage staff phone calls related to absence notification for their scheduled shift and convey information to Nursing Supervisor/Nurse Manager while documenting within the scheduling system. Communicate staffing changes to the Nurse Manager, Assistant Nurse Manager, or Nursing Supervisor in a timely manner, either verbally or by text page. Serve as a primary end‑user and system expert for scheduling software, including participation in development, testing, implementation, and maintenance. Provide other administrative support and customer service, such as: Making recommendations to the Staffing Office Manager for continuous education and process improvement initiatives related to improving office workflows and employee care. Participating on project committees and staff meetings. Participating in the training and orientation of new staff. Providing coaching and feedback to peers as appropriate. Presenting a professional office demeanor that emphasizes exceptional customer service and consideration. Answering the telephone using an agreed‑upon protocol, forwarding calls as appropriate, taking messages accurately, and returning voicemail messages within a reasonable timeframe according to departmental protocol. Minimum Qualifications High School Diploma or GED. Less than 1 year of healthcare experience. Minimum of 6 months of staffing experience. Knowledge of medical terminology, patient care needs, and the role in the interprofessional team. Ability to complete delegated tasks within the scope of the role. Cultural awareness and the ability to convey respect and connect effectively with people from diverse backgrounds. Effective communication skills, including understanding of communication concepts, tools, and techniques, and the ability to transmit, receive, and accurately interpret ideas, information, and needs. Use of language that partners with patients and families and engages them in their health care. Shift and Schedule Day Shift: 8 am - 4 pm. Evening Shift: 4 pm - 12 am. Night Shift: 12 am - 8 am. Must be able to work all shifts as needed; required 24 hours total every 6 weeks, including weekend shifts. Physical Demands Lift and carry up to 25 lbs. Frequent sitting, standing, and keyboard use. Patient care providers may be required to perform activities specific to their role, including kneeling, bending, squatting, and performing CPR.
