Note: This is fully onsite for now with the possibility of being remote.
Program Manager II:
This position is within the Management and Budget Department. Duties include project management and support for statewide procurements, including Requests for Proposals (RFPs) and Requests for Information (RFIs). Responsibilities may also include managing procurement scheduled, coordinating meetings, preparing meeting materials and other assigned duties.
Job Duties and Responsibilities
- Coordinate procurement projects from initial planning through solicitation development, evaluation support, and contract execution.
- Assist program staff in developing scopes of work, deliverables, performance expectations, and other procurement requirements.
- Support the preparation, review, and organization of RFPs, RFIs, and related procurement documents.
- Develop and maintain procurement schedules, project plans, and tracking tools to monitor deadlines, assignments, dependencies, and outstanding items.
- Coordinate with program staff, Management and Budget leadership, State Purchasing, and other stakeholders to advance procurement activities and resolve outstanding questions.
- Schedule and coordinate project meetings, procurement planning sessions, and evaluation committee meetings.
- Prepare meeting agendas, background materials, presentations, status reports, and other supporting documents.
- Document meeting discussions, decisions, and action items; follow up with responsible staff to ensure completion.
- Coordinate the collection and consolidation of stakeholder feedback, solicitation questions, and draft responses for review and approval.
- Provide administrative support to evaluation committees, including organizing proposal materials, maintaining evaluation schedules, and tracking required documentation.
- Maintain organized procurement and project records to support transparency, reporting, and audit readiness.
- Monitor project progress, identify delays or risks, and elevate issues requiring leadership direction or corrective action.
- Assist with the preparation and routing of procurement requests, memoranda, approvals, and contract-related documents.
- Support improvements to procurement workflows, templates, tracking systems, and departmental guidance.
- Assist in special project implementations
- Perform other related duties as assigned.
