About the Opportunity
Our client is a well-established and diversified organization with a large workforce and multiple operating entities. They are seeking a highly professional Executive Administrative Assistant to support senior leadership in a fast-paced, dynamic corporate environment.
This role is ideal for an experienced executive support professional who thrives on organization, discretion, communication, and problem-solving. The successful candidate will serve as a trusted partner to executive leadership, helping drive operational efficiency, coordinate critical business activities, and ensure seamless execution of executive priorities.
Position Overview
The Executive Administrative Assistant will provide high-level administrative support to multiple senior executives while acting as a central point of coordination across departments, stakeholders, and external partners. This individual will manage complex schedules, oversee executive communications, coordinate travel and events, and help maintain the systems and processes that enable leadership teams to operate effectively.
This position requires exceptional organizational skills, professionalism, sound judgment, and the ability to maintain strict confidentiality.
Key Responsibilities
Executive Support
- Provide direct administrative support to multiple senior executives
- Manage complex calendars, appointments, meetings, and scheduling priorities
- Coordinate and prioritize incoming communications, emails, phone calls, and correspondence
- Prepare presentations, reports, meeting materials, agendas, and executive documentation
- Draft, edit, proofread, and distribute professional communications on behalf of leadership
Calendar & Travel Management
- Coordinate domestic and international travel arrangements
- Manage transportation, lodging, dining reservations, and travel itineraries
- Anticipate scheduling conflicts and proactively identify solutions
- Ensure executives are prepared for meetings, events, and business engagements
Communication & Coordination
- Serve as a primary point of contact for internal and external stakeholders
- Facilitate communication between executives, employees, customers, vendors, and business partners
- Coordinate cross-functional projects and executive initiatives
- Support leadership with follow-up actions, project tracking, and workflow management
Board & Leadership Support
- Assist with board-related activities including meeting preparation, agendas, minutes, and communications
- Coordinate executive meetings, leadership events, and strategic planning sessions
- Support fundraising, community engagement, or external relations initiatives as needed
Process Improvement & Administration
- Maintain and improve administrative processes and filing systems
- Track budgets, expenses, invoices, and executive-related expenditures
- Organize company events, leadership meetings, and team communications
- Ensure confidential records and sensitive information are managed appropriately
Qualifications
Required Experience
- 4+ years of Executive Administrative Assistant experience supporting senior leadership
- Experience working within a large corporate environment (750+ employees preferred)
- Proven ability to manage multiple priorities in a fast-paced setting
- Strong experience coordinating executive calendars, travel, and communications
Technical Skills
- Advanced proficiency with Microsoft Outlook
- Strong Microsoft Excel skills
- Experience utilizing Microsoft Teams and other collaboration platforms
- Comfortable navigating multiple software systems simultaneously
- Strong knowledge of business communication tools and office technologies
Professional Skills
- Exceptional written and verbal communication abilities
- Outstanding organizational and time-management skills
- Ability to exercise discretion and maintain strict confidentiality

- Ability to work independently while supporting multiple stakeholders
