Central Office Secretary
The job of a Central Office Secretary was established for the purpose of providing secretarial duties to support assigned administrative personnel; communicating information to staff members, the public and other districts; ensuring compliance with financial, legal and administrative requirements; and providing information and/or direction as may be requested.
Bargaining unit members will be considered first.
Position is located at Angus Educational Center.
Work year: 8.0 hours/day 7:30am-4:00pm 221 days/year.
Start date: 8/3/2026. Probationary pay rate: Level E: $18.68 for 1st 45 worked days then increases to $19.63/hr. Qualifications:
High school diploma or its equivalent. Five (5) years of clerical experience and a working knowledge of general office procedures and equipment. Must have basic skills assessment, pertinent to position qualifications, at 80% on file in the Human Resources Department. If testing is not on file, selected candidates will be contacted for testing.
Basic responsibilities:
- Attend meetings as assigned (e.g. staff meetings and interviews) for the purpose of conveying and/or gathering information required to perform functions.
- Verify and ensure accuracy of attendance records (i.e. Kronos) for employees for the purpose of complying with District attendance policy.
- Coordinate a variety of programs and activities (e.g. meetings, site in-service day activities, workshops, computer testing, conferences, field trips) for the purpose of delivering services in conformance to established guidelines.
- Evaluate situations (e.g. involving other staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
- Maintain inventories of supplies and materials for the purpose of providing item availability.
- Monitor assigned district activities and/or program components for the purpose of coordinating activities and providing compliance with established financial, legal and/or administrative requirements.
- Perform record keeping (confidential and non-confidential), general and program specific clerical functions (e.g. scheduling, copying, faxing, etc.) for the purpose of supporting assigned administrator and/or site with necessary materials.
- Prepare written materials (e.g. reports, memos, letters, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
- Process documents and materials for the purpose of disseminating information to appropriate parties.
- Receive and screen by phone or in person from parents, community representatives, vendors, and District personnel for the purpose of providing information or directing to appropriate parties.
- Research a variety of topics (e.g. current practices, policies, etc.) for the purpose of providing information for addressing a variety of administrative requirements.
- Respond to inquiries from a variety of internal and external parties (e.g. staff, applicants, parents, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
- Maintain regular attendance and punctuality for the purpose of ensuring efficient delivery of services to the District.
- Occasionally assist other personnel for the purpose of supporting them in the completion of their work activities.
Working environment: The usual and customary methods of performing the job require some lifting, carrying, pushing and/or pulling and significant fine finger dexterity. Sitting - 75%, Walking - 15%, Standing - 10%.
