Administrative Coordinator (Bilingual Spanish/English)

Details: Position type : Full-time, nonexempt Location : On-site in Walnut, CA Reports to : Director of Sales Salary range : $50-55k a year Work hours : 8:15 am - 5:00 pm, Monday through Friday What you'll do: We are looking for an Administrative Coordinator (must be bilingual Spanish/English) to support our sales team in a number of essential sales-related tasks such as writing orders, sending invoices, generating reports, and working with our finance and warehouse teams to coordinate payments and shipments. You will play a crucial role in ensuring all of the sales operations run smoothly so our clients have a stellar experience. This role is on‑site full-time (no hybrid/remote) in our Walnut, CA office (right off the 57/60 freeways). The job duties include, but are not limited to: Process sales orders accurately and timely on behalf of sales associates Assist sales associates with customer orders received via phone, email, and walk‑in visits Generate invoices, packing lists, and other documentation required by customers Coordinate with the Finance Department to ensure customer payments, credits, and account issues are resolved promptly Coordinate shipping, delivery, and pickup arrangements with customers, trucking companies, and warehouse personnel Obtain freight and trucking quotations for shipments Communicate shipment updates and resolve delivery‑related issues with customers Assist customers with basic inquiries regarding inventory availability, order status, and shipping information Product & Marketing Support Retrieve and organize inventory style photos on a bi‑weekly basis Retrieve and distribute photos of new arrival styles weekly Compile monthly best‑seller reports using sales data and product images Assist management with basic purchasing, inventory, and sales trend reporting Trade Shows & Events Attend trade shows and conventions to assist with order entry, customer service, product presentation, and follow‑up activities during and after shows Support booth setup, merchandising, and promotional material preparation Administrative Duties Assist with filing, data entry, and other administrative tasks as assigned Perform additional duties and special projects assigned by management All other tasks as assigned Key qualifications and requirements: 1+ years of admin or office experience, preferably supporting a sales team Must be bilingual Spanish/English Strong organizational and multitasking abilities Demonstrated ability to communicate clearly and engage with customers Familiar with Microsoft Office, especially Excel (VLOOKUPS and pivot tables) Ability to travel up to 10 weeks a year (approximately 2‑3 weeks a quarter) Detail‑oriented with strong accuracy in data entry and order processing Ability to work effectively in a fast‑paced environment and meet deadlines Team player with a positive and professional attitude Medical insurance (80/20) after the first 90 days 401k matching program after the first year Paid time off (vacation and sick) No recruiters, please Fortune Dynamic, Inc encourages applicants of all ages and experience, as we do not discriminate on the basis of an applicant's age.
