Why You’ll Love This Role

The Patient Services Coordinator is one of the most important faces of our clinic! You’ll be the first friendly face patients see and the person who helps make their experience welcoming, smooth, and positive from start to finish.

You’ll play a key role in keeping the clinic running smoothly while building meaningful relationships with our patients. From welcoming patients and coordinating appointments to answering questions and helping with day-to-day clinic operations, no two days are exactly the same!

What You’ll Do

• Welcome patients with a warm, friendly, and positive attitude
• Check patients in and room them for their appointments
• Coordinate appointments and help keep the clinic running efficiently
• Answer incoming calls promptly and professionally
• Respond to patient emails, text messages, and faxes and ensure timely follow-up
• Answer patient billing and insurance questions and help resolve concerns
• Clearly and confidently explain insurance coverage, benefits, and out-of-pocket costs
• Enter and update patient and insurance information accurately
• Collect and process payments when needed
• Help maintain strong patient relationships and provide an exceptional overall experience
• Complete bi-monthly inventory and help keep the clinic stocked and organized
• Keep snacks and supplements organized and fully stocked
• Complete cash deposits twice weekly and maintain accurate daily End-of-Day records
• Support the clinic team with administrative and clerical tasks as needed
• Maintain a clean, organized, welcoming front desk and waiting area
• Attend monthly, quarterly, and annual meetings as needed
• Follow HIPAA requirements and all clinic policies and procedures

Qualifications:

• High school diploma or equivalent required
• Associate degree preferred
• Previous healthcare or front-office experience preferred
• Ability to maintain patient confidentiality and professionalism
• Successful completion of a criminal background check

Clinic Schedule

Monday: 8:00 AM – 5:00 PM
Tuesday: 8:00 AM – 7:00 PM
Wednesday: 8:00 AM – 1:00 PM
Thursday: 7:00 AM – 5:00 PM
Friday: 8:00 AM – 5:00 PM
Saturday: 8:00 AM – 12:00 PM

Saturday availability is required 2–3 Saturdays per month.
