Clinic Coordinator - Mon-Fri 8:30am-5pm

Overview Reporting to the Practice Manager, this position handles administrative tasks on a clinic floor, including scheduling appointments in accordance with scheduling guidelines; liaising among patients/families/providers/leadership; and triaging patient and provider requests. This role supports a busy clinic setting with exemplary customer service while managing complex, high-volume scheduling tasks and real-time priorities. Located in Boston and the surrounding communities, Dana-Farber Cancer Institute is a leader in cancer research and patient care. We work with physician/researchers and partner with teams to advance treatment and patient care. Primary Duties and Responsibilities Appointment Scheduling: Accurately schedules complex appointment sets across disciplines for oncology patients in accordance with scheduling guidelines; monitors scheduling reports to ensure accuracy and optimize resource utilization; maintains confidentiality of Protected Health Information (PHI); participates in training new team members as requested. Patient Experience: Delivers outstanding customer service to internal and external customers; responds timely and accurately to patient needs; deescalates patient grievances and involves floor leadership as necessary. Communication and Collaboration: Communicates effectively across leadership levels and with varying audiences; synthesizes and communicates complex information in patient-friendly terms; obtains detailed scheduling information face-to-face, by telephone, or electronically while performing check-in/check-out functions; coordinates complex schedules and entering verbal orders; works effectively as a team member across functional groups. Emergency Response: Recognizes emergencies and responds using standard operating procedures. Regulatory Compliance and Quality Improvement: Ensures compliance with Dana-Farber policies; understands roles in Joint Commission accreditation readiness; maintains HIPAA compliance; completes assigned AEU and Health Stream competencies; executes registration-related processes (e.g., Partners Patient Gateway Enrollment, MASS HiWay, MSPQ, MOLST, Release of Patient Information); participates in quality improvement projects and provides constructive feedback. Information Technology: Maintains competency in Epic, RTLS, and Outlook; participates in system upgrades and operational changes; handles distribution, maintenance, cleaning, and troubleshooting of patient-use iPads. Knowledge, Skills and Abilities Excellent verbal and written communication skills Working knowledge of computers and technology; excellent customer service Ability to function as an integral member of the team Strong organizational and multi-tasking abilities Strong problem-solving and critical thinking skills Demonstrated flexibility and willingness to take on additional responsibilities Ability to adapt to an ever-changing environment Minimum Job Qualifications High school diploma; bachelor’s degree preferred Experience in a customer service setting preferred Proficiency in technology and complex computer systems required License/Certification/Registration Supervisory Responsibilities None Patient Contact Yes, this position entails patient contact and communication. Methods of contact include in person, telephone, written letter, or email. Age population served will depend on clinical area (e.g., Pediatric or Adult). This position may or may not include wheelchair escort services.
