The Opportunity

We are looking for a Supply Chain Analyst to own the flow of materials and medications through our pharmacy, from supplier qualification to the package on the patient’s doorstep. Reporting directly to our CEO, you will manage purchasing of bulk drug substances, finished medications, and pharmacy supplies; keep inventory, lot, and expiration data airtight; and run the logistics that get temperature-sensitive orders to patients on time. You will partner closely with our Pharmacist in Charge and pharmacy team so that every purchase and shipment is documented, traceable, and inspection-ready. And you will turn the data into sharper decisions on cost, lead time, and availability as our brand partners grow.

Every script we fill depends on the right ingredient, the right lot, and the right shipment arriving on time. You will be the person who makes sure it does.

Key Responsibilities

• Create, place, and track purchase orders for active pharmaceutical ingredients (APIs), excipients, finished medications, and pharmacy supplies from initiation through receipt, resolving delays and discrepancies before they affect patient orders.
• Source and qualify suppliers, including FDA-registered bulk drug substance manufacturers and licensed wholesale distributors; collect and verify certificates of analysis (COAs) and maintain supplier licensing and qualification files.
• Request and negotiate quotes, evaluate new suppliers, and track vendor performance against cost, quality, and on-time delivery.
• Maintain lot, expiration, and beyond-use-date tracking; manage first-expired, first-out rotation; and support quarantines, returns, and recalls in partnership with the Pharmacist in Charge.
• Support pharmacy compliance documentation for purchasing and inventory, including DSCSA transaction records for finished prescription drugs, controlled substance purchasing and inventory records, and materials documentation supporting USP <795> and <797> compounding standards.
• Forecast demand by brand partner and protocol (HRT, longevity, dermatology, and more) to prevent stockouts of critical ingredients and medications.
• Manage mail-order shipping and carrier relationships, including cold chain and temperature-controlled packaging, in-transit monitoring, and exception resolution.
• Create and maintain master SKUs and product data so that formulations, NDCs, and inventory records stay accurate across pharmacy, ERP, and accounting systems.
• Pull and analyze reports on inventory turns, cost per fill, supplier spend, and fulfillment performance, and present findings and recommendations to the CEO.
• Prepare purchasing and inventory records for state board of pharmacy inspections, brand partner audits, and LegitScript and internal reviews.
• Keep supply chain records free of unnecessary patient information and follow HIPAA and company privacy practices whenever order or shipment data involves patients.
• Identify trends and recommend process improvements that reduce cost, shorten lead times, and strengthen controls as we expand into new states and brand partnerships.

What You Bring

• Bachelor’s degree in Supply Chain Management, Operations, Business, or a related field preferred.
• 2 to 4 years of experience in supply chain, purchasing, or inventory management, with at least 1 year in a pharmacy, pharmaceutical, compounding, or other FDA-regulated environment strongly preferred.
• Working knowledge of pharmacy supply chain requirements such as lot and expiration control, DSCSA traceability, and controlled substance recordkeeping.
• Familiarity with 503A compounding operations and USP <795>/<797>/USP <800> is a strong plus.
• Experience with cold chain or temperature-sensitive shipping and carrier management.
• Advanced Excel skills (pivot tables, lookups, data modeling) and working knowledge of ERP systems, with NetSuite strongly preferred; experience with a pharmacy management system is a plus.
• Florida registered pharmacy technician or national certification (PTCB or NHA) is a plus, not a requirement.
• Obsessive attention to detail; you know a single wrong lot number is a compliance event, not a typo.
• Clear, confident communication with suppliers, pharmacists, logistics partners, and senior leadership.
• A self-starter who works independently and prioritizes well in a fast-paced, evolving environment.
